 Summary of Responsibility:

The CA Manager leads and develops a team responsible for managing the complete order fulfillment process for capital equipment sales. This role emphasizes a customer-first approach while ensuring the team adheres to best practices, company policies, and ethical standards. The manager monitors workloads, tracks performance metrics, and fosters collaboration across Sales, Vendors, Accounting, IT, and other departments to streamline operations and resolve issues efficiently. They oversee procurement and invoicing activities, apply accounting principles to daily functions, and mitigate risks related to contracts and deadlines. Additionally, the manager drives continuous improvement by maintaining process documentation and staying informed about industry trends to support strategic decision-making and uphold high customer satisfaction.

Responsibilities:

  • Maintain a customer-first mindset in all daily activities to ensure a positive customer experience.

  • Lead, mentor, and develop the Order Fulfillment team by providing guidance, training new members, and identifying continuing education opportunities for existing staff.

  • Supervise the team to ensure adherence to established best practices, company policies, procedures, and business ethics codes, facilitating their consistent implementation.

  • Monitor order volume and complexity to balance workload distribution effectively across the team.

  • Track and analyze key performance indicators (KPIs) to measure team performance and identify areas for improvement.

  • Collaborate closely with Sales, Vendors, Accounting, IT, and other internal departments to ensure seamless communication, resolve order-related issues, and identify opportunities for process improvements.

  • Oversee procurement activities, including managing vendor relationships, approving purchase orders, and ensuring compliance with legal and contractual requirements.

  • Apply basic accounting knowledge, including Accounts Receivable (A/R), Accounts Payable (A/P), and General Ledger (G/L), to support daily operations and ensure accurate invoicing aligned with contract terms.

  • Analyze risks related to deadlines, payment terms, and contract compliance, and implement mitigation strategies to minimize impact.

  • Maintain and continuously improve documentation of order fulfillment processes and best practices to drive operational efficiency and consistency.

  • Take ownership of escalated issues, working cross-functionally to resolve problems promptly and maintain high levels of customer satisfaction.

  • Ensure adherence to all company policies, procedures, and business ethics codes.

  • Stay informed about industry trends and the company’s product lines by attending relevant meetings, seminars, and training sessions.

Qualifications and competencies:

  • Bachelor’s degree in Business Administration or a related field, or equivalent experience, required.

  • Minimum of five years of management experience in a business-related field.

  • Background in accounting, project management, and/or order fulfillment preferred.

  • Advanced proficiency in Microsoft Office Suite required.

  • Strong analytical and problem-solving skills, including the ability to apply mathematics to resolve business challenges.

  • Ability to work independently, manage multiple priorities, and make sound decisions in a fast-paced environment.

  • Excellent interpersonal skills with the ability to establish and maintain effective working relationships across teams, management, vendors, and customers.

  • Strong written and verbal communication, listening, organizational, time management, and conflict resolution skills required.

  • Awareness and understanding of contract policies.
