Description of Work

ENCSD is recruiting for an Administrative Officer that will function as the Digital Systems & Learning Coordinator. This position will be responsible for Student Information System (SIS) coordination and reporting, staff training and digital systems onboarding, policy development support and compliance coordination, technology procurement and E-Rate process support and cross-department systems alignment and workflow optimization across departments. This role functions as a liaison between instructional staff, administration, and IT to ensure accurate data management, consistent system use, and alignment with policies and regulatory requirements.

Knowledge Skills and Abilities/Management Preferences

Job duties include but are not limited to:

Student Information System (SIS) Coordination

  • Coordinate and support SIS usage across the organizationĀ 
  • Ensure accuracy, integrity,and consistency of student dataĀ 
  • Develop and maintain reports for internal and external useĀ 
  • Train staff on system use and data entry proceduresĀ 
  • Support continuous improvement of system processesĀ 

Digital Learning & Staff TrainingĀ 

  • Design and deliver professional development on digital toolsĀ Ā 

  • Develop onboarding and ongoing training resourcesĀ 

  • Support staff in effective system useĀ 

  • Provide guidance on appropriate use of digital technologiesĀ 

Technology Procurement & CoordinationĀ 

  • Support procurement processes for technology resourcesĀ 

  • Assist with vendor coordination and product evaluationĀ 

  • Support E-rate processes and documentation requirements

Policy Research, Development, Implementation & ComplianceĀ 

  • Coordinate and support the research, development, and implementation of institutional policiesĀ 

  • Support leadership in policy governance processesĀ 

  • Develop and maintain staff, student, and family handbooksĀ Ā 

  • Design training systems to support policy understandingĀ 

  • Monitor implementation of policies and proceduresĀ Ā 

  • Track policy review cycles and coordinate updatesĀ Ā 

  • Analyze effectiveness of procedures and recommend improvements

Training and ComplianceĀ 

  • Develop and deliver compliance-related trainingĀ Ā 

  • Monitor adherence to established policies and proceduresĀ 

  • Support audit preparation and documentationĀ 

  • Assist in ensuring alignment with regulatory requirements

Systems Coordination & Operational SupportĀ 

  • Coordinate digital onboarding processes for new employeesĀ 

  • Support alignment across systems (SIS, Microsoft 365, website platforms, etc.)Ā 

  • Identify opportunities to improve workflow efficiencyĀ 

Minimum Education and Experience

Bachelor’s degree from an appropriately accredited institution and three years of experience in information systems, education or administrative management; or an equivalent combination of education and experience with at least 5-7 years of progressive experience in data systems coordination, staff training/professional development, technology coordination or support and policy development and compliance.

ASL experience highly preferred but not required. ASL classes will be offered during work hours for the selected candidate.

Preferred qualifications include:

Experience with Student Information Systems (Infinite Campus)Ā 

Experience in K-12 or public sector environmentsĀ 

Experience with Microsoft 365 and SharePointĀ 

Experience with data reporting and analysis toolsĀ 

Experience supporting compliance or audit processesĀ
