The Manager, Event Operations Logistics is responsible for the successful logistical planning and on-site execution of College events, meetings, conferences, trainings, and external client events. This position serves as the primary operational coordinator, ensuring facilities, room setups, food service, technology, security, vendors, and other event support services are aligned and prepared to deliver a professional and seamless event experience.

Working closely with internal departments, event organizers, external clients, and vendors, the Manager, Event Operations Logistics translates event plans and client needs into detailed operational requirements and coordinates the people, spaces, equipment, and services needed for each event.

The ideal candidate is highly organized, customer-focused, and able to manage multiple events while responding quickly and effectively to changing needs in a fast-paced environment.

What You’ll Do
  • Coordinate the operational and logistical execution of College and external events from final planning through completion, including setup, event execution, teardown, and facility restoration.
  • Develop event timelines, operational checklists, room diagrams, setup requirements, and day-of-event plans while ensuring spaces meet safety, accessibility, appearance, and operational standards.
  • Conduct event walkthroughs, pre-event meetings, and final readiness checks to confirm requirements and identify potential issues before guests arrive.
  • Serve as the primary on-site operational contact for assigned events, troubleshooting issues and coordinating solutions involving facilities, technology, food service, security, vendors, room setup, and other event needs.
  • Work closely with Facilities, Information Technology/AV, food service, Security, custodial services, parking, and other College departments to communicate schedules and coordinate event requirements.
  • Meet with internal event organizers and external clients to understand their needs and provide guidance regarding available spaces, room configurations, technology, food service, security, building access, and other operational considerations.
  • Coordinate approved vendors, contractors, caterers, rental companies, entertainment providers, and other event partners, including arrival schedules, loading and unloading, building access, setup locations, equipment placement, and departure requirements.
  • Monitor events throughout execution and make timely adjustments when plans change or unexpected issues arise.
  • Maintain accurate event schedules, floor plans, vendor information, operational records, checklists, and other event documentation.
  • Identify opportunities to improve event operations and develop standardized procedures and resources that promote consistency, efficiency, and a positive experience for clients and guests.
What You’ll Need
  • Associate degree or equivalent combination of education and experience in event management, hospitality, operations, business, or a related field.
  • Experience coordinating events, meetings, conferences, hospitality operations, facilities, or similar logistical activities.
  • Strong organizational and project management skills with the ability to manage multiple events and competing priorities.
  • Excellent communication and customer service skills with the ability to work effectively with clients, vendors, and employees across departments.
  • Strong problem-solving skills and the ability to remain calm and make decisions in a fast-paced event environment.
  • Ability to work flexible hours, including occasional evenings and weekends, based on event schedules.
  • Proficiency with Microsoft Office and the ability to learn and effectively use event scheduling and operational systems.
