Responsibilities:Â Manage front desk and greet visitors. Order daily lunches and special event lunches. Prepare conference rooms for visitors and meetings, request replenishment of catering supplies, and manage conference room calendars as needed. Help coordinate special events, such as company picnics, employee health fairs, and team-building activities. Responsible for newsletter content, development, and distribution, as well as other ad hoc communications/announcements. Coordinate with and support company currier efforts. Processes incoming mail daily including distributing mail and packages to various departments. Prepare daily outgoing mail and packages; may require infrequent trips to the post office. Auditing incoming freight bills and other monthly invoices. Coordinate uniform ordering and support activities, including weekly invoice reconciliation. Support attendance tracking activities and filing of documents. Support specific recruiting, onboarding, and orientation efforts; the scope is based on current business needs. Maintain PPE stock at the front desk for employees and visitors. Assist with employee inquiries. Answer multi-line phone and direct customer and vendor calls to the appropriate department. Responsible for compliance with all regulatory, facility food safety, and quality policies and procedures including product safety (GMPs) policies and procedures. Ensure visitors receive training (GMP Policy signature) and are in compliance with GMP policies and procedures prior to entering the production/warehouse areas. Maintain training records and log to track GMP training for visitors. Other clerical or administrative tasks as directed. QualificationsJob Qualifications: Minimum of one-year job-related experience; preferably in Office Administration, HR, or other business related department. Basic knowledge of Office Administration or Human Resources practices. Ability to work independently, meet deadlines, be detail-oriented, and be a self-starter. Excellent interpersonal skills with the ability to maintain effective relationships. Strong oral and written communication skills. Position requires long periods of sitting; intermittent standing, reaching, bending, and filing. Must be able to lift approximately 10-20 lbs. Excellent computer skills and demonstrated proficiency with MS Office. Willingness to learn and develop skills.
