Job Summary

St. Vincent de Paul Catholic Church is seeking a friendly, professional, and service-oriented Receptionist to serve as the first point of contact for parishioners, visitors, and community members. The Receptionist plays a vital role in creating a welcoming parish environment by providing exceptional customer service, managing front office operations, responding to inquiries, and supporting the administrative needs of the parish. This position requires strong communication skills, attention to detail, professionalism, and a commitment to maintaining confidentiality.

Job Description

Responsibilities include, but are not limited to:

  • Welcome parishioners, visitors, vendors, and community members in a courteous and professional manner.
  • Answer, screen, and direct incoming telephone calls, emails, and general inquiries.
  • Provide information regarding Mass schedules, parish ministries, sacramental preparation, events, and parish services.
  • Assist parishioners with registrations, forms, and general office requests.
  • Maintain parish records, databases, and filing systems with accuracy and confidentiality.
  • Process incoming and outgoing mail, packages, and correspondence.
  • Schedule appointments and assist with maintaining parish calendars and meeting schedules.
  • Prepare routine correspondence, bulletin announcements, reports, and other parish communications.
  • Support the Pastor, parish staff, and ministry leaders with administrative tasks and special projects.
  • Maintain a clean, organized, and welcoming reception and office area.
  • Order and monitor office supplies as needed.
  • Assist with parish events and activities as requested.
  • Maintain confidentiality regarding parishioner, personnel, financial, and pastoral matters.
  • Perform other duties as assigned by the Pastor or Business Manager.

Job Qualifications

  • High school diploma or equivalent required; additional administrative training or coursework preferred.
  • Previous customer service, receptionist, administrative assistant, or office support experience preferred.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
