Position Overview:
We are seeking a highly organized, adaptable Executive Assistant to primarily support our CEO while also assisting the COO, executive team, and overall office operations. The ideal candidate thrives in a dynamic environment, demonstrates exceptional attention to detail, and manages sensitive information with the utmost discretion.
Key Responsibilities:
- Serve as a professional point of contact for the CEO, communicating directly with Board members, external partners, staff, and business associates
- Prioritize and manage multiple tasks, consistently handling confidential matters with professionalism and tact
- Coordinate and schedule meetings, internal/external events, and company-wide activities
- Oversee general office operations, including procurement of coffee, snacks, and office supplies from multiple vendors, and ensure office spaces and files are clean, organized, and well-maintained
- Assist the accounting team with invoicing, administrative functions, and special projects
- Run occasional local errands (e.g., mail drop-offs at UPS, USPS, and similar locations)
- Provide comprehensive administrative and personal support to the CEO, including:
- Managing complex calendars and scheduling
- Coordinating travel arrangements and itineraries
- Preparing and processing expense reports for the CEO and COO
- Assembling meeting materials and facilitating conference calls
- Assisting with personal appointments, reservations, and scheduling (e.g., meetings, dining, private commitments)
- Coordinating errands and special requests as needed
- Managing personal correspondence, gifts, and special occasions for the CEO/COOÂ
Requirements:
- Proven experience supporting C-level executives – 3 years of experience
- Strong administrative or executive support background with a track record of long-term tenure
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Technologically savvy; comfortable with iPhone, iPad, Microsoft Surface, Canva, and related office tools
- Excellent written and verbal communication skills
- Superior organizational and time management skills
- Meticulous attention to detail and strong follow-through
- Ability to multitask and seamlessly adapt to shifting priorities in a fast-paced environment
- Strong interpersonal skills and the ability to work collaboratively across teams
- Professional demeanor, sound judgment, and unwavering discretion
- Ability to remain composed and effective under pressure
Position Type & Schedule:
- Full-time, Monday through Friday
- Typical hours: 8:00 a.m. – 5:00 p.m. Some evenings, weekends, and occasional travel may be required based on business and executive needs.
