This role maintains accurate, confidential records; coordinates with employees, managers, payroll, benefit carriers, and third-party administrators; and supports compliance with applicable federal and state employment requirements. Duties and responsibilities Provides consistent, professional, and confidential HR administration in accordance with company policy and applicable legal requirements. HR Administration & Employee Support Support employee onboarding, status changes, offboarding, and other HR transactions for Page GTC employees. Maintain complete and accurate employee records, investigation files, leave documentation, and benefit records in accordance with retention requirements. Respond to employee and manager questions and route matters requiring HR leadership review or legal guidance. Support employee communications, training coordination, and HR projects as assigned. Provide professional representation of the company in all employee interactions. GTC Leave Administration Administer all applicable federal, state, and company leave programs for eligible Page GTC employees across all GTC locations. Administer and track applicable state paid-leave, family and medical leave, disability, caregiver, and other job-protected leave programs based on each employee’s work state, including but not limited to: Massachusetts Paid Family and Medical Leave (MA PFML) Rhode Island Temporary Caregiver Insurance and Temporary Disability Insurance, as applicable Connecticut Paid Leave and applicable job-protected leave requirements Vermont leave requirements and applicable state programs Maine Paid Family and Medical Leave and other applicable leave requirements New Hampshire Voluntary Paid Family and Medical Leave and other applicable leave requirements Coordinate applicable disability, workers’ compensation, and return-to-work matters with the appropriate internal and external partners. Determine eligibility, issue required notices, obtain supporting documentation, track leave usage, and maintain timely communication with employees and managers. Coordinate leave-related payroll and benefit deductions and support accurate return-to-work processing. Monitor regulatory updates and elevate recommended process or policy changes to HR leadership. Employee Investigations & Employee Relations Conduct prompt, objective, and appropriately documented investigations involving employee complaints, policy concerns, workplace conduct, and other employee relations matters. Plan interviews, gather and preserve relevant records, assess available information, and prepare factual investigation summaries for HR leadership review. Maintain confidentiality and appropriate separation of investigation files from routine personnel records. Escalate matters involving significant legal, safety, retaliation, or business risk to HR leadership and coordinate with legal counsel or other partners when directed. Benefits Administration & Account Reconciliation Reconcile all employee benefit accounts, carrier invoices, payroll deductions, enrollment records, and funding or remittance reports on a regular schedule. Identify and resolve enrollment, deduction, billing, eligibility, and termination discrepancies in coordination with payroll, benefit carriers, brokers, and third-party administrators. Document reconciliation results, corrections, credits, refunds, and outstanding items; escalate unresolved discrepancies to HR leadership. Administer and communicate employee benefit programs, including medical, dental, vision, life, disability, supplemental plans, and 401(k), as assigned. Support annual open enrollment, qualifying life event changes, new hire enrollments, terminations, and required employee communications. Support compliance with ACA, COBRA, ERISA, applicable state continuation requirements, and benefit plan procedures. HR Compliance & Coordination Serve as a primary HR contact for Page GTC employees and managers within the assigned scope. Apply company policies consistently and refer disciplinary or termination recommendations to HR leadership for review. Communicate with managers regarding leave administration, investigation processes, benefit corrections, and employee documentation requirements. Partner with Payroll, Safety, Compliance, Operations, benefit vendors, and HR leadership to resolve employee matters. Maintain strict confidentiality and use sound judgment when handling sensitive employee and benefit information. HR Systems, Reporting & Process Improvement Maintain accurate HRIS and benefit system data and complete timely audits and corrections. Maintain leave calendars, investigation logs, benefit reconciliation records, and status reports for HR leadership. Develop and maintain standard operating procedures and checklists for assigned responsibilities. Track service, compliance, and reconciliation measures and recommend practical process improvements. QualificationsQualifications Bachelor’s degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and relevant experience. 3+ years of progressive HR experience, including hands-on leave, employee relations, or benefits administration responsibilities. Working knowledge of FMLA and multistate leave and disability requirements, with the ability to research and apply changing requirements based on each employee’s work state. Experience reconciling benefit invoices, payroll deductions, enrollment records, or related employee benefit accounts. Knowledge of federal and state employment laws and the ability to follow established escalation and review processes. Demonstrated experience conducting workplace investigations and preparing clear, factual documentation. Strong Microsoft Office and HRIS proficiency, including Excel skills used for reconciliation and audit work. High integrity, sound judgment, attention to detail, and ability to maintain strict confidentiality. Must pass post-offer, pre-employment drug screening and comply with company drug-free workplace policy Preferred SHRM-CP, SHRM-SCP, PHR, or SPHR certification. Experience with HRIS, payroll, benefits administration, and leave management platforms. Experience working with benefit carriers, brokers, and third-party leave administrators.
