Position: Project & Operations Coordinator 

Reports to:       Operations Manager

You keep projects moving. You keep customers happy. You keep the business running smoothly. We’re a small, fast‑growing kitchen remodeling company specializing in cabinet redooring and refacing, and we’re looking for a highly organized Project & Operations Coordinator to manage the flow of every job from “sold” to “completed.”

This role is the operational hub of our business — ensuring materials arrive on time, schedules stay tight, installers have what they need, and customers feel confident every step of the way.

What You’ll Do

Project Coordination

  • Build and manage project schedules with installers, subcontractors, vendors, and customers.

  • Maintain and update the production calendar to keep all jobs on track.

  • Prepare project packets, work orders, change orders, and customer sign‑off documents.

  • Schedule templates, countertop installs, deliveries, inspections, and other project milestones.

  • Coordinate permits and third‑party services when required.

Purchasing & Vendor Management

  • Track material lead times and proactively communicate delays or changes.

  • Verify incoming deliveries for accuracy, quality, and damage.

  • Order and coordinate replacement materials when needed.

  • Manage inventory, local pickups, and warehouse organization.

Project Administration

  • Maintain accurate project records in CRM.

  • Track each project from sale → production → installation → completion.

  • Coordinate punch lists, warranty work, and follow‑up tasks.

  • Ensure projects are closed promptly and final payments are collected.

  • Provide operational reporting and updates to the owner.

  • Projects start on schedule with no surprises.

  • Ensure materials arrive before installation begins.

  • Scheduling conflicts are rare and resolved quickly.

  • Coordinate that punch lists are closed timely and customers feel taken care of.

  • Final payments are collected promptly and cleanly.
