The Administrative Coordinator at The Learning Experience plays an important role in supporting the daily operations of the center. This position is ideal for a highly organized, friendly, and detail-oriented professional who enjoys working with families, supporting staff, and helping create a welcoming and positive environment for children and employees.
Role Responsibilities
ADMINISTRATIVE & CENTER OPERATIONS
- Provide administrative support to the Center Director and leadership team.
- Maintain accurate employee and family records in center systems.
- Assist with payroll preparation and review employee timekeeping for accuracy.
- Support scheduling and help ensure staffing information is organized and up to date.
- Manage office supplies, center inventory, and administrative materials.
- Assist with vendor communication, maintenance requests, and facility-related needs.
- Support billing, account receivables, and family account inquiries.
- Assist with registration and enrollment paperwork.
- Help coordinate staff meetings, trainings, and center events.
- Support communication between the leadership team, teachers, and families.
FAMILY & CUSTOMER ENGAGEMENT
- Answer phone calls, emails, and general inquiries in a timely and friendly manner.
- Assist prospective families by providing information and scheduling tours.
- Follow up with prospective families and support the enrollment process.
- Maintain accurate information in the lead tracking portal.
- Assist with family communications, including newsletters, announcements, reminders, and billing communications.
- Support center events, family engagement activities, and special programs.
- Assist with local marketing and community outreach activities as needed.
- Support social media and other family engagement initiatives.
Qualifications
- DCF 45 HoursÂ
- Previous childcare administrative experience.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Friendly, professional, and customer-service-oriented personality.
- Ability to manage multiple priorities in a fast-paced environment.
- Comfortable using computers, email, scheduling systems, and Microsoft Office.
