Job Description
We are seeking a detail-oriented and organized Project Coordinator to join our growing team in Sacramento, CA. This role will work closely with project managers, engineers, subconsultants, and our Project Cost Accounting (PCA) team to support the administrative and coordination needs of projects where KPFF serves as the prime consultant.Â
You'll help keep projects organized and moving forward by coordinating subconsultant agreements and scopes, project documentation, project setup and budget tracking, Bluebeam sessions, and permit submittals. This is a great opportunity for someone who enjoys working behind the scenes of complex projects, managing details, and collaborating with both technical and administrative teams.Â
What You'll DoÂ
- Prepare and track subconsultant agreements, amendments, and related documentationÂ
- Assist with the preparation and coordination of scopes and scoping documents for subconsultantsÂ
- Create and maintain Bluebeam Studio Sessions and support project document coordinationÂ
- Coordinate with Project Managers and the Project Cost Accounting (PCA) team on project setup, budgets, and billing trackingÂ
- Coordinate permit submittals, including preparing documentation, tracking status, and communicating with agenciesÂ
- Maintain organized project files, agreements, correspondence, and other project documentationÂ
- Track project deadlines, action items, submittals, and administrative requirementsÂ
- Coordinate with subconsultants and internal team members to gather information and keep project activities moving forwardÂ
- Support project meetings, including scheduling, meeting materials, notes, and follow-up items as neededÂ
- Provide additional project coordination and administrative support to Project Managers throughout the project lifecycleÂ
Qualifications
- Experience in project coordination, project administration, or a similar roleÂ
- Strong organizational skills and attention to detail, with the ability to manage multiple projects and prioritiesÂ
- Strong written and verbal communication skillsÂ
- Comfortable working with project documentation, contracts, scopes, budgets, and other detail-oriented informationÂ
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and TeamsÂ
- Ability to work independently, take ownership of assigned responsibilities, and collaborate effectively across project teamsÂ
- Proactive approach to tracking details, following up, and keeping work moving forwardÂ
Preferred QualificationsÂ
- Experience in an architecture, engineering, construction, or other professional services environmentÂ
- Experience supporting projects involving multiple subconsultantsÂ
- Experience with Bluebeam or similar project collaboration and document management toolsÂ
- Familiarity with project setup, budget tracking, billing processes, or project accounting coordinationÂ
- Experience coordinating permit applications or submittals with public agenciesÂ
- Familiarity with professional services contracts, subconsultant agreements, and scopes of work

CompensationÂ
The base salary range for this role is $28-$35 per hour, determined by experience, education, and skills. KPFF also offers performance-based bonuses to recognize outstanding contributions. Additional details about the full compensation package will be provided during the interview process.Â
