Job Description:

The Executive Assistant provides advanced administrative and operational support for the Office of Belonging, Equity, Diversity, and Inclusion (OBEDI), with responsibility for coordinating executive support, financial activities, communications processes, and office and center operations. This position serves as a key operational resource in a distributed leadership environment, helping to ensure continuity, alignment, and effective execution across a broad range of office and programmatic priorities.

 

The role supports the Senior Associate Dean for Inclusive Community and affiliated OBEDI center activities through management of complex scheduling and leadership support functions, cost center and financial coordination, communications and inquiry management, maintenance of office distribution systems, and coordination of programs, events, and related initiatives. The incumbent is expected to work independently, exercise sound judgment, and proactively identify and escalate issues to support the effective functioning of the office.

 

The role requires a high degree of discretion, judgment, and organizational awareness, with responsibility for integrating activities across leadership, programs, and administrative functions to support the effective operation of the office and its centers. 

Job Qualifications

Education and Experience:

  • Bachelor’s degree and 1-2 years of progressively responsible experience in executive support, office operations, financial coordination, or program administration required.

  • Senior-level executive administrative support experience preferred.

  • Experience in a university or academic medical center setting preferred.

  • Experience supporting programs, events, or multi-stakeholder initiatives preferred.

  • Experience in working with a diverse community and supporting an inclusive environment.

  • And/or equivalent combination of education and experience.

Job Competencies:

  • Demonstrated ability to exercise sound judgment, discretion, and professionalism in handling sensitive and confidential matters in a fast-paced, complex environment.

  • Strong organizational, planning, and time management skills, with the ability to manage competing priorities and ensure timely follow-through across multiple workstreams.

  • Excellent written and verbal communication skills, with the ability to interact effectively with a diverse population of students, trainees, faculty, staff, and external stakeholders.

  • Proven ability to coordinate and manage complex administrative workflows, including scheduling, communications, and program or event logistics across multiple stakeholders.

  • Ability to identify issues, anticipate needs, and proactively escalate or resolve operational challenges with minimal supervision.

  • Demonstrated proficiency in Microsoft Office Suite and Google Workspace; ability to learn and effectively use enterprise systems such as Workday.

  • Experience with virtual meeting platforms (e.g., Zoom, WebEx) and supporting hybrid meeting and event environments.

  • Ability to support financial processes, including tracking budgets, processing transactions, and preparing basic financial reports.

  • Strong attention to detail and commitment to accuracy in managing data, communications, and administrative processes.
