The Sales Operations Coordinator provides critical operational, administrative, and event support for the Sales organization through the coordination of trade shows, sales meetings, showroom operations, sample management, sales reporting and administrative functions. This role ensures accurate product information, timely delivery of sales tools and samples, seamless event execution and effective support for strategic accounts and independent sales representatives.
What You’ll Do
Sales Operations & Event Coordination
- Coordinate and execute all logistics for national trade shows, sales meetings, and showroom events, including registration, travel, accommodations, materials, setup, and teardown. Attendance and travel required.
- Successfully plan, execute, and attend trade shows, sales meetings, and showroom activities with strong attention to detail and organization.
- Coordinate team calendars, meetings, travel arrangements, and other administrative support activities.
- Maintain accurate records, documentation, and reporting to support business operations and decision-making.
- Process and reconcile department expenses in accordance with company policies and timelines.
- Perform other duties and special projects as assigned.
Showroom & Sample Management
- Manage showroom operations for 4 showrooms in Portland, Las Vegas, New York, and Dallas to ensure showrooms are fully equipped with current samples, catalogs, and sales materials. Travel to showrooms at least twice per year.
- Coordinate the distribution, tracking, and timely delivery of product samples to sales representatives, strategic accounts, and showrooms.
- Ensure on-time and accurate delivery of all sales tools such as samples.
- Maintain showroom presentation and ensure effective execution of showroom activities.
- Ability to pack, unpack, organize, and transport samples, catalogs, displays, and marketing materials.
Product Information & Systems
- Audit sales catalogs and related materials to ensure accuracy of product information, pricing, colors, and style details.
- Administer and maintain NuOrder, including product setup, updates, user support, and data accuracy.
- Support product setup activities for strategic accounts, including SKU creation and data management.
- Maintain a high level of accuracy in product information, catalog data, system records, and reporting.
- Maintain SKU product accuracy and ensure data integrity across systems and sales materials.
Sales Reporting & Strategic Account Support
- Prepare and distribute recurring sales reports, including Weekly Availability to Sell (ATS) reports and other business analytics.
- Develop and maintain sales presentations, reports, and supporting materials for strategic accounts and sales leadership.
- Respond to reporting and information requests from independent sales representatives and internal partners.
- Provide responsive, professional support to sales representatives, strategic accounts, internal teams, and external partners.
- Support effective execution of sales initiatives and provide accurate information to support business operations and decision-making.
Cross-Functional & Sales Partnership
- Collaborate with Sales, Merchandising, Planning, Creative Services, and external partners to ensure effective execution of sales initiatives.
- Build effective working relationships across Sales, Merchandising, Planning, Creative Services, and Operations to ensure seamless execution of business initiatives.
- Take initiative, follow through on commitments, proactively resolve issues, and keep stakeholders informed of progress and challenges.
- Identify and implement process improvements that increase operational efficiency and enhance sales support capabilities.
- Seek opportunities to improve processes, increase efficiency, and enhance the effectiveness of sales operations and event support.
What You Bring
- 2–4 years in sales operations, sales support, or sales coordination; ideally in wholesale apparel, footwear, or outdoor/consumer goods.
- Trade show and/or showroom coordination experience preferred.
- Bachelor's degree or equivalent relevant experience.
- NuOrder or comparable B2B / digital wholesale platform; back-end administration and site setup.
- Order management / ERP systems and ATS (available-to-sell) reporting.
- Advanced PowerPoint for executive and strategic account presentations.
- Strong Excel for catalog/pricing auditing, data accuracy, and reporting.
- Ability to quickly learn and adapt to new project management tools.
