OVERVIEW:

The Fiduciary Administration Practice Lead manages fiduciary administration support, serving as both a people leader and trust administration subject matter expert. This role supports Wealth Administrators and relationship teams while overseeing centralized post-death settlement administration for trusts impacted by a client’s death.

This role requires a skilled trust and estate administration professional who can interpret complex legal documents, develop administration plans, and coordinate with Wealth Advisory, Estate Settlement, Tax, and Legal teams to ensure timely, clear, and efficient administration.

This position will operate in a hybrid work environment, 3 days per week in the office (Philadelphia, PA).

RESPONSIBILITIES:

Firm & Team Engagement

  • Lead a team that delivers administrative and operational support to client-facing relationship teamsin Private Wealth. 
  • Develop and implement best practices and consistent administration procedures across Glenmede’s footprint.  
  • Serve as a centralized resource for Relationship Managers, Estate Settlement, Tax, LARC, and clients to develop and execute administration plans.
  • Clearly communicate trust terms and administration impacts to Wealth Advisory teams, clients, and advisors to support informed decision-making.
  • Facilitate discussions with internal teams and external advisors, including estate planning counsel and accountants.
  • Oversee outside counsel engagements and coordinate engagement letter review with Glenmede Legal Counsel.
  • Coordinate with Special Assets on real estate, life insurance, tangible property, valuations, appraisals, and related service providers.

Collaboration & Additional Responsibilities

  • Build effective relationships with family members, attorneys, accountants, and advisors to support post-death trust transitions.
  • Develop centralized fiduciary administration support, including post-death services, as part of the team’s firm-wide Wealth Advisory offering.

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree
  • 10+ years of related experience in a law firm, financial services trust department, or trust company.
  • Deep knowledge of trust and estate administration, probate, and private wealth management.
  • Understanding of fiduciary income tax, gift tax, and GST tax concepts.
  • Familiarity with directed trust and delegated trust models, particularly those governed by Delaware law.
  • Basic understanding of fiduciary investment practices for corporate trustees.
  • Prior experience managing a team.

PREFERRED QUALIFICATIONS:

  • Paralegal or other certification or relevant paralegal experience preferred.
  • Sound judgment, attention to detail, and strong client service skills.
  • Skilled in identifying administrative issues and communicating them effectively to internal stakeholders.
  • Proficientin Microsoft Office applications.
  • Highly detail-oriented, especially in fiduciary matters.
  • Demonstrated strength in client service and relationship management.
  • Commitment to operational excellence and positive client outcomes.
  • Prior experience working at a corporate fiduciary is preferred.
  • Collaborative, organized, and able to prioritize, multitask, and perform well under pressure.
  • Discreet and dependable, with the ability to manage confidential information appropriately.
