POSITION OVERVIEW

The Marketing Assistant provides day-to-day support to the Marketing & Communications Manager in carrying out Greater Palm Springs Animal Allies’ marketing and communications efforts. Working closely with the Marketing & Communications Manager and Development team, this role helps support communications that share the stories of our animals, programs, people, and community impact.

This is a hands-on support role for someone who is highly organized, proactive, adaptable, and comfortable managing multiple projects. The ideal candidate can keep projects moving, track down information and answers, follow up with others, and navigate ambiguity while staying on top of details and deadlines. Strong communication skills, initiative, attention to detail, and follow-through are essential.

Because much of our work centers around animals, this position requires someone who is comfortable around them and willing to learn how to work with them safely and appropriately. Previous animal-handling, photography, or videography experience is a plus; a willingness to learn and become comfortable working with animals is vital to this position. 



ESSENTIAL DUTIES AND RESPONSIBILITIES

Project Coordination & Marketing Support

  • Provide day-to-day project and administrative support to the Marketing & Communications Manager and Development team.
  • Help maintain marketing calendars, project timelines, content schedules, vendor information, and departmental files. Experience with Monday.com is a plus.
  • Assist in coordinating marketing campaigns with the Development team by sharing campaign plans, clarifying goals and marketing needs, confirming deliverables and deadlines, and gathering needed information and approvals.
  • Follow up with departments across the organization to obtain information, materials, decisions, and approvals needed to keep marketing projects on schedule.
  • Provide marketing support for fundraising campaigns, adoption events, community programs, special events, and other organizational initiatives.
  • Assist with preparation and logistics for media appearances, photo/video shoots, and promotional opportunities.
  • Track basic marketing metrics and assist with compiling campaign results and other reporting as needed.
  • Represent the organization at events and community activities as requested.

Print, Design & Production Support

  • Assist with the development and production of flyers, brochures, signage, postcards, event materials, adoption promotions, and other printed collateral.
  • Coordinate print projects with outside vendors, including requesting quotes, preparing files, reviewing proofs, tracking deadlines, and coordinating delivery.
  • Create and adapt basic graphics and marketing materials using Canva, Adobe Creative Suite, or similar design tools.
  • Ensure printed and promotional materials are current, accurate, appropriately branded, and available when needed.
  • Maintain organized files and records for vendors, print projects, merchandise, and other marketing materials.

Digital Communications & Social Media Content Support

  • Assist with gathering stories, photos, program updates, statistics, and other information from departments across the organization for use in marketing communications.
  • Help draft, edit, proofread, and prepare content for newsletters, e-blasts, website stories, social media, promotional materials, and other communications.
  • Assist with developing, creating, and scheduling social media content, including identifying timely and engaging stories about animals, programs, staff, volunteers, events, and community impact.
  • Capture and organize photographs and short-form video content at organizational facilities, programs, and events.
  • Assist with creating and editing reels, short-form videos, graphics, and other digital content using Canva, Adobe products, and similar tools.
  • Monitor social media channels and flag timely content opportunities, questions, or items that may require attention.
  • Assist with website updates and help ensure digital content follows organizational voice, branding, and visual standards.
  • Maintain and organize the organization’s photo, video, graphic, and other digital asset libraries.
  • Attend staff meetings and other meetings as requested.
  • Perform other duties as assigned.

Education and/or Experience

  • High School Diploma or equivalent required
  • Experience in marketing, communications, or social media preferred
  • Animal welfare and/or handling experience is a plus 

Required Technical / Other Skills and Abilities

  • Strong interpersonal and communication skills (written + verbal)
  • Organized and detail-oriented with ability to multitask
  • Comfortable working in a fast-paced, dynamic environment
  • Ability to maintain confidentiality
  • Social Media platform proficiency - Instagram, Facebook, etc.
  • Google Workplace/Microsoft Office proficient
  • Ability to learn ShelterLuv or similar database systems 
  • Ability to transport animals using a Shelter-owned vehicle, or own vehicle
  • Comfortable working with animals of all different types and sizes
  • Ability to attend meetings and/or trainings pertaining to position
  • Must be willing and able to work varying shifts, including weekends and holidays

Required Licenses/Certifications

  • California drivers license and clean driving record

The position requires both mental acuity, and some physicality depending upon type of tasks. This person will work in a variety of locales and have regular exposure to a variety of animals and wildlife. Locations can include but are not limited to:  Shelter; Desert Wildlife Center; Desert Community Animal Clinic; admin office; outside and inside event venues and meeting sites. The position will be required to drive a vehicle.
