Job Summary:

The Transportation Coordinator is responsible for providing leadership and operational support during the evening transportation shift. This position serves as the primary point of contact for transportation-related needs after the Transportation Manager's shift has ended.The Transportation Coordinator will help ensure the shuttle operation runs smoothly by supporting clients, assisting drivers, monitoring employee timekeeping, addressing rider delays and route issues, completing end-of-shift vehicle inspections, and responding to current and future client transportation inquiries.This role is essential in providing consistent leadership coverage and helping ensure that clients, drivers, and vehicles are properly supported throughout the PM transportation operation.

Key Responsibilities:

Client Communication & Email Management

• Respond to emails and transportation inquiries from current and future clients.

• Assist with questions regarding shuttle eligibility, scheduling, pick-up information, and transportation services.

• Communicate important transportation updates or concerns to the appropriate team members.

• Follow up on client transportation requests and ensure necessary information is documented and communicated.

Driver & Employee Support

• Provide leadership coverage and support to drivers during PM routes.

• Monitor employee timekeeping to ensure drivers are properly clocking in and clocking out.

• Review and correct timekeeping issues when appropriate or communicate discrepancies to the appropriate leadership team.

• Assist drivers with transportation-related questions, concerns, or operational issues.

• Help maintain accountability and professionalism among the transportation team.

Rider Delays & Route Issues

• Monitor and respond to rider delays or transportation concerns during PM operations.

• Assist with issues that may cause a client to miss their scheduled pick-up.

• Work with drivers and clients to identify solutions when route delays, missed pick-ups, scheduling concerns, or other transportation issues occur.

• Communicate significant incidents or ongoing issues to the Transportation Manager for follow-up.

Vehicle & End-of-Shift Responsibilities

• Ensure all vehicle keys are collected and secured in their designated location prior to the end of each shift.

  • Check transportation vehicles prior to the end of the shift to ensure they are properly secured and ready for the next day's operations.
  • Confirm that vans have been cleaned after PM routes.
  • Ensure vehicles have been fueled appropriately or identify vehicles requiring fuel.
  • Identify and report any vehicle damage, maintenance concerns, cleanliness issues, or other operational concerns.
  • Help ensure vehicles are properly prepared for the following morning's transportation service.

Operational Leadership

  • Serve as the evening leadership contact for the transportation department from 12:00 PM to 9:00 PM.
  • Help ensure smooth communication between drivers, clients, and transportation leadership.
  • Maintain accurate records of significant delays, missed pick-ups, vehicle concerns, timekeeping corrections, and other operational issues.
  • Provide a shift update or handoff to the Transportation Manager regarding important items requiring follow-up.
  • Support the overall goal of providing safe, reliable, professional, and timely transportation services to clients.

Preferred Skills:

  • Previous leadership, supervisory, transportation, dispatch, or customer service experience preferred.
  • Strong communication and problem-solving skills.
  • Ability to remain calm and make sound decisions during unexpected transportation issues.
  • Comfortable using email, timekeeping systems, and basic computer programs.
  • Strong organizational skills and attention to detail.
  • Ability to work independently while maintaining communication with management.
  • Ability to interact professionally with clients, drivers, and employees.
  • Dependable and able to consistently provide leadership coverage during evening operations hours.

Key Qualifications:

The Night Transportation Leadership Coordinator should demonstrate strong ownership of the evening transportation operation. The ideal candidate will be proactive, dependable, organized, and capable of resolving issues as they arise.

The primary goal of this position is to ensure that there is consistent transportation leadership coverage after the Transportation Manager's shift ends, allowing the PM operation to continue with appropriate oversight, client support, driver accountability, and vehicle readiness for the following day.
