Position Summary:  
  Ghostworks Marine is seeking an Administrative Assistant who will perform a wide range of complex and confidential administrative support duties. We’re a fast-growing manufacturing startup driven by a simple but powerful belief: innovation thrives when people and processes work in harmony. Main Responsibilities:  

  • Serve as the primary administrative support for HR and Operations leadership with a wide array of clerical requests
  • Assist HR with onboarding new hires, employee data management (both confidential and non-confidential), and regularly scheduled auditing
  • Coordinate cross-departmental communications (inc. Weekly Newsletter), ensuring timely follow-ups and clear action items
  • Support operational projects as requested (could include assistance with vendor coordination, inventory tracking/entries, and process documentation)
  • Assist with reporting, presentations and data summaries for leadership meetings
  • Assist with planning and executing company events, training sessions, and team building activities 


Requirements:   

  • Candidates must have U.S. Citizenship  
  • High School Diploma required - bachelor’s degree preferred  
  • 2+ years of previous experience supporting staff and executives required   
  • Strong technology skillset.  Proficiency with MS Outlook & Teams.  Experience with SharePoint would be preferred 
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced setting  
  • Professional demeanor with excellent written and verbal communication skills
  • A proactive mindset – you anticipate needs before they arise
  • Comfortable working with confidential information and handling it with discretion
