Position Overview:
Grand View Lodge is looking for a detail-oriented, mechanically inclined Vehicle Fleet Coordinator to manage the operation, maintenance, and coordination of our resort vehicle fleet. You'll own the full lifecycle of fleet management; from tracking usage and scheduling maintenance to making purchase recommendations and ensuring every vehicle is road-ready, properly licensed, and well-documented. This is a role for someone who takes pride in keeping things running smoothly and sees the value of a well-maintained fleet as part of delivering a great guest and associate experience.

Duties & Responsibilities:Â
- Maintain a complete, accurate inventory of all fleet vehicles — cars, trucks, vans, and other resort transportation assets.
- Manage the vehicle issuance system, ensuring all personnel checkouts are tracked and all vehicles are accounted for at all times.
- Track usage, fuel consumption, and mileage across the full fleet; maintain scheduled maintenance logs and set up oil change schedules proactively.
- Conduct quarterly drive inspections of all vehicles and photograph each vehicle to document condition.
- Make clear, well-documented recommendations on vehicle repair, replacement, or retirement based on inspection findings and usage data.
- Make purchase and lease recommendations for future fleet needs based on business levels and operational demands.
- Manage vehicle licensing tabs, ensuring all registrations are current and compliant.
- Apply company logos and branding to vehicles as needed.
- Maintain control of all spare keys across the fleet.
- Perform minor vehicle repairs as needed and coordinate with vendors for larger repairs.
- Read and follow chemical labels and submit accurate written reports and assessments as required.
- This is a resort hospitality role; availability on weekends, holidays, and extended hours during peak seasons is required.

What you bring:
- 3 years of experience in transportation, fleet, or related operations management; preferably at a multi-site company.
- General auto mechanic knowledge and hands-on comfort with vehicle inspection and minor repairs.
- Strong attention to detail and organizational skills; you keep meticulous records and nothing slips through the cracks.
- Proficiency in Microsoft Office, with strong Excel skills for inventory tracking and scheduling; basic computer knowledge for scheduling and reporting.
- Ability to manage multiple priorities, meet deadlines, and work flexible hours as operational needs arise.
- Physical ability to lift over 50 lbs occasionally, and to stand, climb stairs, reach, and bend as needed in the course of fleet inspections and minor repairs.
- A valid driver's license with a clean record; required.
- Hospitality or resort experience is a plus.
