Position Summary

The Office Administrator II provides day-to-day administrative and coordination support for the site, partnering with Operations, HR, Safety, and other functional teams. Responsibilities include office and visitor support, hourly timekeeping administration, purchasing, travel coordination, communications, meetings and events, and other site administrative needs. This role helps ensure efficient site operations and positive experience for employees, leaders, and visitors.

Key Responsibilities

  • Timekeeping, HR, and employee support: Support hourly production timekeeping processes, including missing or incomplete time information, supervisor follow-up, routing corrections, and maintaining confidentiality of employee information.
  • Employee, candidate, and visitor experience: Serve as a welcoming resource for employees, candidates, visitors, customers, and partners; route questions appropriately and support visitor readiness, including badges, PPE, sign-in, host coordination, and workspaces.
  • Meetings, events, travel, and communications: Coordinate meetings, meals, materials, leader visits, travel logistics, employee events, community outreach, site communications, digital monitors, bulletin boards, signage, newsletters, and employee-facing materials.
  • Purchasing, finance, and vendor coordination: Purchase supplies through approved Company processes and support invoices, check requests, P-card reconciliation, donation logs, vendor coordination, expense support, and basic budget tracking as assigned.
  • Safety and site readiness support: Support Safety and Operations by maintaining visitor PPE, safety communication materials, emergency drill logistics, assigned safety documentation, and other site readiness needs.

Experience & Skills

  • Education: High school diploma or equivalent required; associate degree or related coursework in business or office administration preferred.
  • Experience: 3+ years of administrative, office coordination, operations support, HR support, customer service, or related experience required; manufacturing or production environment experience preferred.
  • Skills: Proficiency with Microsoft 365 and ability to learn business systems; strong communication, organization, attention to detail, customer service, discretion, problem-solving, and ability to manage changing priorities independently and collaboratively.

Work Environment/Travel Requirements

  • Primarily works in an office environment with regular interaction with employees, leaders, visitors, vendors, and manufacturing teams; may occasionally enter manufacturing areas and must follow applicable safety and PPE requirements.
  • Occasional travel and schedule flexibility may be required to support training, meetings, projects, visitors, events, or other business needs.

Physical Requirements

  • Ability to perform typical office activities, including extended periods of computer work.
  • Ability to occasionally walk through manufacturing areas while wearing required PPE.
  • Ability to occasionally lift and carry up to 25 pounds.
