Overview

The Truck Service Office Assistant performs clerical and customer service-related tasks to support the efficient operation of the Truck Shop.

Responsibilities

  • Properly answer and respond to incoming calls and caller needs. Take detailed messages and transfer calls as necessary.
  • Schedule incoming trucks for repair and enter work orders in the JD Edwards system
  • Using an effective filing system, properly maintain electronic and paper documents as required
  • Contact vendors to order parts as requested; resolve any issues with invoices, order status or items received
  • As part of the ordering process, create purchase orders within the JD Edwards system to properly track quantity and pricing, validate invoices and orders received, and forward for vendor payment.
  • Work with Truck Service Manager and warehouse personnel to efficiently implement quarterly cycle counts to ensure accurate inventory accountability and control.
  • Maintain documentation of annual vehicle inspections; timely provide required documentation to the corporate DOT team
  • Maintain SDS as required for chemicals used in the Truck Shop
  • Communicate with MFA Oil Company personnel in various departments as needed to provide information, schedule repairs, track inventory and support accounting functions.
  • All MFA Oil employees are expected to know and adhere to company and position specific policies and procedures. While this job description contains the primary duties of the position, employees may be expected to perform other duties as assigned.

Job Requirements

  • High School diploma or equivalent
  • Experience using PC-based productivity tools, such as Word and Excel.
  • Ability to type and operate a calculator efficiently.
  • Organizational skills
  • Oral and written communication skills
  • Ability to work effectively with minimal supervision
  • Ability to lift and carry boxes weighing up to 25 pounds
  • Ability to speak, read, write, and understand the English language to communicate accurately and effectively with customers, coworkers, and supervisors.
  • Ability to meet Company requirements, including successful pre-employment background check and drug test.
  • Legal authorization to work in the United States

Preferred Skills

  • Knowledge of JD Edwards programs
  • Experience with truck shop operations and work orders
  • Ability to grasp new concepts quickly
  • Ability to perform detailed work with accuracy
  • Ability to set priorities and goals and develop plans for achieving them
  • Ability to obtain forklift certification
