Senior Setup Manager – Banquets

Position Overview
Sandestin Golf & Beach Resort is seeking an experienced and energetic Senior Setup Manager to lead our Banquet Setup team in delivering exceptional events throughout one of the Gulf Coast’s premier resort destinations.
With 90,000 square feet of meeting and event space, multiple venues, extensive outdoor event areas, and a wide variety of weddings, conferences, corporate meetings, social celebrations, and resort events, this position plays a critical role in ensuring every event is set up flawlessly and ready to exceed guest expectations.
The Senior Setup Manager is responsible for leading the daily banquet setup operation, coordinating team members, ensuring accurate and timely room setups, and maintaining the high standards expected of a luxury resort. The ideal candidate is a hands-on leader who thrives in a fast-paced environment and understands that exceptional events begin with exceptional preparation.
Essential Responsibilities
- Lead, train, coach, and supervise the Banquet Setup team, ensuring efficient and professional execution of all events.
- Oversee the setup, breakdown, and changeover of meeting rooms, ballrooms, outdoor venues, and other event spaces.
- Review Banquet Event Orders (BEOs) and event diagrams to ensure all setups are accurate and completed according to specifications.
- Coordinate closely with Banquets, Catering & Conference Services, Food & Beverage, Housekeeping, Engineering, and other departments to ensure seamless event execution.
- Ensure tables, chairs, stages, dance floors, linens, risers, podiums, audiovisual equipment, décor, and other event-related items are properly placed and maintained.
- Manage room flips and multiple event setups while meeting demanding timelines and deadlines.
- Conduct pre-event inspections to ensure rooms and event spaces are clean, organized, properly equipped, and guest-ready.
- Communicate changes or special requests to the appropriate departments and ensure they are executed accurately.
- Assign daily responsibilities and effectively manage staffing based on event volume and operational needs.
- Monitor team productivity, attendance, appearance, safety, and adherence to resort standards.
- Assist with scheduling and staffing for banquet setup and breakdown operations.
- Train employees on proper setup standards, equipment handling, safety procedures, and guest service expectations.
- Maintain an organized inventory of banquet equipment and report damaged, missing, or replacement items.
- Ensure all equipment is handled, stored, and transported safely and efficiently.
- Assist with moving and positioning heavy banquet equipment, furniture, and event materials as needed.
- Respond promptly and professionally to last-minute event changes and guest or client requests.
- Work closely with banquet leadership to resolve operational challenges quickly and professionally.
- Maintain a clean, safe, and organized work environment throughout all banquet areas.
- Ensure compliance with resort policies, OSHA standards, and safety procedures.
- Lead by example and promote a positive, team-oriented culture.

Qualifications
- Previous banquet setup, event operations, convention services, hospitality, or related supervisory experience required.
- Previous leadership or supervisory experience strongly preferred.
- Experience working in a large resort, hotel, convention center, country club, or high-volume event operation preferred.
- Strong understanding of banquet room setups and event operations.
- Ability to read and interpret BEOs, floor plans, and setup diagrams.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Ability to work effectively under pressure and meet strict event timelines.
- Ability to lift, push, pull, and move banquet equipment and furniture.
- Ability to stand and walk for extended periods and work both indoors and outdoors.
- Valid driver's license may be required depending on operational needs.
Physical Requirements
- Ability to stand, walk, and move continuously throughout the workday, including extended periods during event setup and breakdown.
- Ability to lift, carry, push, and pull banquet equipment, tables, chairs, stages, risers, and other event materials weighing up to 50 pounds or more with assistance as needed.
- Ability to frequently bend, stoop, kneel, reach, climb stairs, and work in various positions while setting up and breaking down event spaces.
- Ability to safely operate and maneuver banquet carts and equipment throughout the resort.
- Ability to work both indoors and outdoors in varying weather conditions.
- Ability to work flexible hours, including early mornings, evenings, weekends, holidays, and extended shifts based on event schedules.
