Job DetailsJob Location: 99-Milford Support Team - Milford, OH 45150Jeff Wyler Corporate office is "Now Hiring"  Leave and Workers’ Compensation Coordinator The Leave and Workers’ Compensation Coordinator is responsible for the day to day administration, documentation, and tracking of employee leaves of absence and workers’ compensation claims. This position works closely with the Benefits Manager and HR team to ensure required documentation is distributed and collected timely, deadlines are accurately tracked, records are maintained, and appropriate follow up occurs throughout the leave or claim. This role is primarily administrative and process focused. The Leave and Workers’ Compensation Coordinator does not independently make determinations regarding FMLA eligibility, ADA accommodations, or other complex leave decisions. The position is responsible for ensuring HR has complete, accurate, and timely information so those decisions can be made appropriately. Essential Responsibilities • Coordinate the administrative process for FMLA, ADA related leaves, personal leaves, military leave, pregnancy related leave, and other applicable leaves of absence. • Prepare and send required leave notices, certification forms, and other documentation to employees. • Track all required dates and deadlines, including certification due dates, recertifications, leave start and end dates, return to work dates, and follow up requirements. • Follow up with employees regarding outstanding or incomplete documentation. • Recognize employee communications or circumstances that may indicate a potential need for protected leave or a workplace accommodation, even when the employee does not specifically reference FMLA or the ADA, and promptly escalate those situations to the Benefits Manager or appropriate HR leader for review. • Maintain accurate and organized leave records and ensure documentation is appropriately maintained in confidential files. • Maintain the company’s leave tracking sheet and provide weekly updates to HR regarding active leaves, approaching deadlines, outstanding documentation, and employees expected to return to work. • Escalate leave situations requiring eligibility determinations, accommodation decisions, extensions, or other HR review to the Benefits Manager or appropriate HR leader. • Coordinate return to work documentation and communicate status changes to appropriate HR and payroll personnel. • Track employee benefit premium obligations and arrears during leave and coordinate necessary payroll status changes with the appropriate HR, Benefits, and Payroll team members. • Serve as an administrative point of contact for employees regarding leave paperwork, deadlines, documentation requirements, and process questions. • Coordinate workers’ compensation claims with employees, managers, Sheakley, medical providers, and other appropriate parties. • Ensure workplace injuries are reported timely and required workers’ compensation documentation is collected and maintained. • Track active workers’ compensation claims, work restrictions, appointments, return to work status, and outstanding documentation. • Coordinate workers’ compensation and FMLA administrative processes when an employee’s absence may qualify under both programs, escalating eligibility or other determinations to the Benefits Manager or appropriate HR leader. • Assist with coordination of transitional or modified duty arrangements as directed by HR and the workers’ compensation administrator. • Maintain accurate records and provide regular status updates regarding open workers’ compensation claims. • Identify missed deadlines, missing documentation, inconsistencies, or other issues and escalate them promptly. • Maintain strict confidentiality regarding employee medical information and other sensitive information. • Perform other HR administrative responsibilities as assigned. QualificationsQualifications • 2+ years of HR, benefits, leave administration, workers’ compensation, or related administrative experience preferred. • Working knowledge of FMLA, ADA, workers’ compensation, and general leave administration preferred. • Experience working with a workers’ compensation third party administrator, such as Sheakley, preferred. • Strong organizational skills with exceptional attention to detail. • Demonstrated ability to manage multiple cases, deadlines, and follow up requirements simultaneously. • Strong written and verbal communication skills. • Ability to communicate professionally with employees who may be dealing with difficult or sensitive circumstances. • Ability to maintain confidentiality and appropriately handle medical and other sensitive employee information. • Proficiency with HRIS systems, Microsoft Office, and electronic recordkeeping. • Experience with Paycom and workers’ compensation claims administration preferred.
