Position Overview 


 The incumbent supports Clinical Programs by managing, triaging and processing patient health information requests and ensuring adherence to all confidentiality and privacy requirements. The 

 incumbent will also sort, review and scan medical reports/documents into the electronic health record according to established protocols. Release of Information (ROI) requests are processed 

 for all clinical facilities (i.e. The Eye Center and The Focal Point). 


Essential Functions


  • Provides support to the Clinical Programs by receiving, triaging, and responding to requests for Release of Information via fax, mail, email, voicemail or in-person.
  • Reviews authorization to release information and validates that it is complete, and in compliance with HIPAA Privacy and Security Regulations and TN State laws.
  • Utilizes the Electronic Health Record (EHR) and imaging programs for record retrieval to identify, obtain, organize and disseminate detailed information, including personal health information.
  • Processes ROI and documents in the EHR for referring and referral health care providers, Third-Party audits, post-operative exams, Social Security Administration, and other report retrieval activities.
  • Produces invoices for medical records retrievals.
  • Provides regular updates to management on record management trends and issues
  • Other duties as assigned. 


Job Specifications


Education: High School diploma or equivalent. Associate’s degree in a related field is 

 preferred.


Experience: Two years related experience in health information/medical records.


Certification: RHIT (Registered Health Information Technician) or CEHRS (Certified Electronic 

 Health Records Specialist) or similar certification preferred.



Knowledge, Skills, and Abilities


  • Knowledge of and adherence to HIPAA Privacy and Security Regulations and TN State Laws including processing of ROI in state-mandated time-frame. 
  • Ability to work independently, assume responsibility, multitask, prioritize, meet deadlines, and be proactive with incoming ROI requests.
  • Ability to organize tasks and maintain control of workflow.
  • Demonstrates attention to detail with minimal documentation errors.
  • Ability to deal with others with courtesy and tact using good verbal communication skills and to establish and maintain effective working relationships with others.
  • Ability to use business English, spelling, letter composition and business mathematics accurately.
  • Ability to operate computer, calculator and other office machines as specified.
  • Ability to read, comprehend and follow written and oral communications.



Physical and Environmental Demands


Physical Demands

Prolonged sitting with occasional standing and walking. Occasional lifting up to 10 pounds.

Audible Demands

Operation of phone system, verbal communication with patients, staff, faculty, students and other external customers.

Visual Demands

Computer use, operation of phone system, preparation of reports, spreadsheets and other documents, reading handwriting.

Environmental Conditions

Work is conducted in a typical indoor work environment with good lighting, noise and temperature control.

Hazards

Minimal risk of injury or work-related illness.

  • Assist periodically with event-related needs in the clinic.
