Gift Operations Coordinator

Job Summary:


Reporting to the Gift Operations Manager, the Gift Operations Coordinator is responsible for entering and updating donation information in databases and ensuring the accuracy and integrity of the data. Duties include processing contributions, stewarding and acknowledging supporters, maintaining the donor database, assisting with reports, and responding to donor inquiries. This role requires astute attention to detail, strong organizational skills, and the ability to work independently and communicate effectively with supporters and teammates. 

 

 

Duties/Responsibilities:


  • Serves as a frontline representative of the Development team, communicating with donors in a professional, courteous, and timely manner via phone, email, and written correspondence
  • Processes donation information into the Raiser’s Edge database in accordance with standard operating procedures, ensuring a warm and accurate donor experience at every touchpoint
  • Takes ownership of stewardship for assigned donor segments (e.g., monthly givers, first-time donors, tribute donors), ensuring timely and appropriate acknowledgment and engagement
  • Responsible for accurate and timely creation of acknowledgment letters and year-end statements for donations
  • Assists in the development and maintenance of gift processing standard operating procedures
  • Assists in regular database maintenance duties such as removing duplicate entries, updating constituent contact information, and making other corrections to ensure ongoing data quality
  • Assists at special events when necessary
  • Conducts basic Raiser’s Edge training for other staff
  • Maintains working relationships that ensure the success of Food Bank programs, including maintaining positive interpersonal relationships with donors, volunteers, agency representatives, Food Bank management, and staff
  • Other duties as assigned

 

 

 

 

Qualifications:


  • High school diploma or GED required 
  • Some clerical, administrative, or customer service experience required
  • Experience using Raiser’s Edge/RENXT database (or other fundraising CRM) preferred
  • Proficient using Microsoft Office products (Outlook, Excel, and Word) and standard office equipment
  • Knowledge of good record-keeping procedures and the ability to maintain accurate and legible records and current files
  • Excellent verbal and written communication skills
  • Ability to handle multiple tasks and use good judgment in prioritizing
  • Accuracy and attention to detail 
  • Acceptance of the philosophy of food banking
