Payroll & Accounts Payable Specialist

We are looking for a Payroll & Accounts Payable Specialist to own two functions that keep the firm running: making sure our people are paid accurately and on time, and making sure our vendors are paid correctly and on schedule.

This is a hands-on role with real ownership. You will be the person our employees come to with payroll questions and the person our vendors deal with directly. It suits someone who takes pride in precision, works well against a fixed calendar, and can be trusted with confidential information.

What You Will Do

  • Process firm payroll end to end in ADP, including new hires, changes, terminations, deductions, and off-cycle payments.
  • Review timekeeping data, resolve exceptions with department leaders, and keep payroll and HR records in sync.
  • Administer benefit, 401(k), and garnishment deductions and reconcile them to provider invoices.
  • Support quarter-end and year-end payroll work, including W-2 preparation and distribution.
  • Run the accounts payable cycle: code, route, enter, and pay vendor invoices and employee expense reimbursements.
  • Maintain the vendor master file and safeguard vendor payment information.
  • Reconcile vendor statements, credit card activity, and the AP aging, and support month-end close.
  • Prepare annual 1099 filings and support retirement plan, insurance, and workers' compensation audits.

What You Bring

  • Three or more years of payroll and accounts payable experience.
  • A bachelor’s degree in accounting or business, or equivalent experience.
  • Solid Excel skills and comfort reconciling detailed data.
  • QuickBooks experience and solid understanding of debits/credits.
  • Working knowledge of wage and hour requirements, garnishments, and 1099 reporting.
  • Discretion with confidential compensation and financial information.
  • A professional, responsive approach with employees, partners, and vendors.
