Full-Time / Hourly | Reports to: Shop Manager
Schedule: Monday-Friday, 7:00 AM - 3:30 PM
Pay: $18.00 - $20.00 per hour
Position Summary
The Machine Shop Office Assistant plays a vital role in maintaining the daily efficiency of our manufacturing facility. This position balances traditional administrative responsibilities with shop-specific operational support and production personnel. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced industrial or manufacturing office environment.
Essential Duties and Responsibilities
- Data Entry & Production Tracking: Enter operational metrics into ERP software to ensure accurate work orders.
- Order Processing: Review work orders, generate internal shop workflows, track deadlines, and generate material requisitions.
- Records Management: Maintain neat digital and physical file records of material and work orders.
- Follow safety procedures and maintain a clean work area
Qualifications & Skills
- Education: High school diploma or equivalent required; Associate degree in business administration or related field is a plus.
- Experience: 1-2 years of clerical or administrative experience; prior experience working in a machine shop, manufacturing facility, or industrial setting is highly preferred.
- Software Proficiency: Strong skills in Microsoft Office (Word, Excel, Outlook); or production management/ERP software is highly valued.
- Communication: Excellent professional phone etiquette, verbal communication, and written communication skills.
- Technical Aptitude: Ability to quickly learn job-specific manufacturing terminology, software systems, and data logging procedures.
- Organization: Proven ability to multi-task, prioritize duties, meet daily project deadlines, and manage time independently.
- Strong attention to detail and quality
Physical Requirements & Working Conditions
- Primarily an office-based role but requires walking into the machine shop area regularly where standard manufacturing noise and environmental conditions exist.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times (e.g., handling delivery boxes or heavy file boxes).
