Service Inventory Coordinator

Keep vehicles, paperwork, and service operations moving.

This role is ideal for someone who enjoys accurate administrative work, staying on top of details, and helping a busy service operation run smoothly from vehicle check-in through completed reconditioning.

This is an action-oriented position. You will split your time between computer-based tasks and hands-on coordination on the service center lot, working with managers, vendors, transport drivers, and the corporate Payables team to keep vehicle inventory, purchase orders, invoices, and repair documentation accurate and up to date.

What You’ll Do

  • Receive incoming vehicles, update inventory status, create key tags, and help coordinate vehicle placement on the lot.
  • Enter reconditioning expenses, repair estimates, parts, labor, and related costs accurately into internal systems.
  • Create purchase orders, process vendor documentation, and submit invoices to Payables.
  • Research and help resolve discrepancies involving purchase orders, invoices, repair expenses, or vehicle records.
  • Support the Service Center Manager with organized records, timely documentation, and day-to-day administrative needs.
  • Assist drivers and vendors with vehicle pickups and deliveries while helping keep the service center workflow moving.

What We’re Looking For

  • Administrative, invoicing, accounts payable, inventory, or data-entry experience.
  • Automotive dealership, service center, fleet, inventory, or reconditioning experience is helpful but not required.
  • Experience with purchase orders or vendor invoices is a plus.
  • Clear verbal and written communication with managers, service employees, vendors, drivers, and corporate teams.
  • Experience prioritizing changing tasks throughout the day.
  • Comfort working in both an office setting and an automotive service-center lot environment.
