Job Title: Curriculum Assistant
Department: Office of the Registrar
Grade: 11

Basic Functions: Ensures the accuracy and completeness of the Registrar's records of curriculum changes in each academic year. Responsible for ensuring that these changes and supporting documents are accurately reflected in Banner catalogue, online catalogue, and program portal, and that they are transmitted to the Graduation team for implementation in CAPP. Ensures that program sheets are received from faculties/schools and posted on the Office of the Registrar website.

 

1.      Duties Performed:

  • Curriculum Management:
    • Ensure receipt of all curriculum meeting notes from the Registrar's representative on these committees.
    • Collate materials and compare with those found in the Curriculum Management System as this system comes online.
  • Apply approved curriculum changes in banner 
  • Maintain up to date and error free banner curriculum information on banner.
  • Follow up with faculties and schools to update the curriculum sheets and share the approved sheets with CAPP team and website team. 
  • Responsible for the Registrar Curriculum portal management and update 
    • Receive MEHE and NYSED communications 
    • label, sort and file the MEHE and NYSED communications 
    • update the curriculum portal in a timely and accurate manner. 
      • Represent the Assistant Registrar for Curriculum at curriculum meetings when the former is not available.
  • Catalogue and checklist verification:
    • Based on the compilation of curricular changes, ensure that all changes are represented in the subsequent year's catalogue and make changes as required.
    • Verify that these changes can be found in program and faculty/school curricular checklists
    • Communicate changes to the Graduation Team and verify that these changes are reflected in CAPP
  • Back up for Transcript and Certificate specialists 
    • Performs the basic functions of the transcript delivery specialist and Certificate specialists during their absence. 
  • Perform other related duties as assigned and   looks for opportunities to contribute or to make process changes and lending expertise to other members of the team.

 

2.      Work Contacts:

Faculty Executive Officers, Curriculum committee secretaries, staff in the Office of the Registrar.

 

3.      Independence of Operation:

  • First Level: Assistant Registrar for Curriculum 
  • Second Level: Vice-Provost and Registrar
  • Works according to established procedures, clearly set precedent and professional standards. Complete work is checked at subsequent stage in the work cycle.

 

4.      Supervisory Responsibility:

None. 

5.      Physical Effort:

Minimal. 

6.      Work Conditions:

Clean and pleasant. 

 

7.      Minimum Requirements:

  • Bachelor's degree from a recognized University.
  • Three to five years of experience in faculty curriculum management or similar experience  
  • General knowledge of how university curricula function. General knowledge of the curriculum change process.
  • Microsoft Office Suite. Banner experience a plus
  • English, Arabic. French a plus
