Maintenance Planner – JLL

The Maintenance Planner plays a critical role in ensuring the seamless operation and reliability of our clients' facilities. As the strategic coordinator of all maintenance activities, you'll be responsible for planning, scheduling, and optimizing preventative and corrective maintenance programs that keep building systems running at peak performance. This position is essential to JLL's commitment to delivering world-class facility management services, combining technical expertise with strong organizational skills to minimize downtime, control costs, and exceed client expectations. What your day-to-day will look like:
- Plan and schedule all maintenance work orders, preventative maintenance tasks, and corrective activities using CMMS (Maximo) to optimize resource utilization and minimize equipment downtime
- Serve as the primary CMMS administrator, ensuring accurate data entry, generating performance reports, and maintaining comprehensive documentation of all maintenance activities
- Coordinate work assignments for technicians, vendors, and contractors, developing detailed work plans that include scope, materials, labor estimates, and safety requirements
- Monitor and maintain the preventative maintenance program, analyzing equipment performance data to ensure building systems meet or exceed their rated uptime and life expectancy
- Interface with building occupants, tenants, and clients to address maintenance concerns while providing responsive communication regarding schedules and potential operational impacts
- Prepare monthly, quarterly, and annual maintenance reports, supporting budget preparation with accurate cost data and identifying opportunities for process improvements and cost savings
- Conduct regular compliance audits to ensure all maintenance activities adhere to local codes, regulations, JLL safety programs, and client standards
Required Qualifications:
- 4+ years of experience in maintenance planning and scheduling within commercial facilities, corporate environments, or third-party service providers
- Proficiency in Computerized Maintenance Management Systems (CMMS), with Maximo experience highly preferred
- Strong knowledge of building systems, equipment, and preventative maintenance principles and best practices
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word) with strong analytical and data management capabilities
- Excellent organizational and time management skills with proven ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills with demonstrated ability to interface professionally with clients, vendors, and internal teams
- Proven track record of delivering excellent customer service to both internal and external stakeholders
Preferred Qualifications:
- Experience in facilities management or third-party property services environment
- Knowledge of standard business and accounting practices related to facility operations
- Familiarity with building codes, regulatory compliance requirements, and safety standards
- Experience with vendor management, procurement processes, and contractor coordination
- Understanding of budget preparation, forecasting, and variance reporting
- Ability to analyze maintenance metrics and KPIs to drive continuous improvement initiatives
- Basic knowledge of inventory management and indirect materials coordination

Salary/Comp:Â $45.67/hour $50.48/hour
