POSITION SUMMARY:Ā 

Reporting to the Fleet and Safety Manager, the Fleet Coordinator ensures compliance and supports the implementation and enforcement of vehicle policies throughout the company. This position will assist with any vehicle related items and will be tasked with creating and maintaining an environment in which the developmental needs of team members are met for them to enhance their skills, performance, productivity, and quality of work as it relates to vehicles. The Fleet Coordinator will support the Fleet and Safety Manager with vehicle fleet and operations and acts as a liaison between the internal team, ICEE Field Operations and outside partners.Ā Ā 

ESSENTIAL FUNCTIONS:Ā 

  • Maintains DOT driver qualification files/documents.Ā 
  • Reviews existing policies and procedures and provides recommendations for changes and improvements.Ā 
  • Identifies process bottlenecks and offers timely solutions.Ā 
  • Assists with vehicle change requests, transfers, and coordinates registration renewals.Ā 
  • Assists with fuel card maintenance, distributing license plates to fleet vehicles, and the distributing of insurance ID Cards.Ā 
  • Monitors vehicle fuel fraud alerts and conducts investigations accordingly.Ā 
  • Assists with the transportation of vehicles to different Service Centers.Ā 
  • Emails preventative maintenance updates to field managers.Ā 
  • Coordinates vehicle sales, pick-ups, terminations, and remarketing.Ā 
  • Adds and removes company drivers from various systems, as needed.Ā 
  • Requests and tracks rental vehicles as needed.Ā 
  • Maintains an up-to-date new vehicle status report.Ā 
  • Acts as a liaison between in the insurance company and fleet company.Ā 
  • Emails SMOG/Vehicle Inspections, as required.Ā 
  • Coordinates with supply the chain team for vehicle safety equipment, as needed.Ā 
  • Prints vehicle bar code labels for new vehicles and when plates/SCs change.Ā 
  • Performs other duties as assigned by Supervisor.Ā 

COMPETENCIES:Ā 

To perform this job successfully, the Fleet Coordinator must be self-motivated, able to problem solve, detail-oriented, and able to stay on task. The requirements listed below are representative of the knowledge, skill, and/or ability required.Ā Ā 

  • Excellent organization and time management skills.Ā 
  • Must be a self-starter and be able to accomplish a versatile and evolving workload.Ā Ā 
  • Excellent knowledge of legislations and procedures.Ā 
  • Excellent knowledge of potentially hazardous materials or practices.Ā 
  • Proficient in MS Office (experience with Excel required, Power BI, a plus).Ā 
  • Critical thinker and able to solve problems quickly and effectively.Ā Ā 
  • Great interpersonal and communication skills.Ā 

EDUCATION AND EXPERIENCE:Ā 

  • Bachelor's degree, preferred.Ā 
  • 2 or more years of experience as a fleet and safety coordinator or similar roleĀ 
  • Certificate in occupational health and safety strongly desired.Ā 

Pay from: $25/hour - Pay is based on experience, education, skills, training, and certifications.
