Position Summary

The Administrative Support Coordinator is responsible for coordinating staff onboarding, client intake, and compliance tracking, while supporting the agency’s Medication Management and documentation systems. This role ensures that all administrative and operational processes meet Oregon Administrative Rules (OARs), ODDS requirements, HIPAA standards, and agency policies.


Core and Operational Responsibilities:

-Staff Recruitment, Hiring & Onboarding

- Maintain complete and accurate employee records, including background checks, certifications, and licenses

- Ensure all required employment documentation is completed and retained in compliance with regulations

- Track applicants

- Schedule and conduct face to face interviews and coordinate hiring logistics

- Complete reference checks

- Prepare onboarding documentation

-Client Intake, Enrollment & Service Support


Core and Operational Responsibilities:

- Ensure client records are complete, accurate, and compliant with Oregon regulating authorities.

- Maintain required documentation for eligibility and service authorization

- Coordinate onboarding for clients  and families

- Support ISP documentation, including writing Implementation Plans, Risk Mitigation Plans and other required documentation.

- Compliance & Documentation Medication Administration Requirements and Compliance

- Maintain all records in compliance with HIPAA and ODDS/DHS

- Ensure audit-ready documentation at all times

- Identify and correct documentation deficiencies

-Medication Management & Compliance Support

- Ensure MARs are accurate and completed in real time

- Monitor and report medication errors, refusals, or missed doses

- Ensure medications are administered by authorized staff only

- Support adherence to the Five Rights

- Verify proper medication storage and disposal

- Support nurse delegation compliance

- Assist with audits and reviews

- Maintain friendly and knowledgeable working relationships with families and Physicians

-Communicate accurate documentation needs to families and Physicians

-Document accurate physician’s orders in CRM


Other Duties as Assigned:

- Provide administrative support and assist with agency needs


Key Performance Expectations:

- 100% compliance with documentation requirements

- Audit-ready records at all times

- Timely onboarding and intake processes


Required Qualifications:

- High school diploma required

- 2+ years administrative experience preferred

- Strong organizational and communication skills

- Proficiency in Microsoft Office and ability to learn North Star Oregon’s internal systems, policies and procedures

-Must pass a state of Oregon Background check


Work Environment:

- Office-based with some remote flexibility


Compensation:

- $25.00 – $30.00 per hour (DOE)
