Role Overview

The Maintenance Coordinator supports the day-to-day coordination and administration of Toters' facility maintenance activities. The role coordinates maintenance requests, schedules technicians and contractors, tracks expenses and documentation, and ensures maintenance issues are followed through to resolution.


Key Responsibilities

  • Coordinate daily maintenance requests across Toters facilities.
  • Assign maintenance tasks to Handymen, technicians, and external contractors.
  • Follow up on open maintenance requests and ensure timely completion.
  • Schedule preventive maintenance activities and service visits.
  • Coordinate with facility teams and warehouse operations to minimize disruption.
  • Maintain records of maintenance activities, repairs, equipment, warranties, and service contracts.
  • Collect and organize quotations, invoices, and supporting documentation.
  • Track maintenance expenses against approved budgets.
  • Assist with basic accounting and administrative activities related to maintenance.
  • Follow up with suppliers and service providers regarding quotations, invoices, payments, and outstanding works.
  • Monitor recurring maintenance issues and escalate them to the Maintenance Team Lead.
  • Prepare basic maintenance reports and trackers.
  • Support procurement of maintenance materials, tools, and spare parts.
  • Ensure maintenance documentation is complete and properly filed.


Requirements

  • Bachelor’s degree in Civil Engineering, Electro-Mechanical Engineering, or a related field.
  • Experience in Facility Management, maintenance coordination, or building operations.
  • Basic understanding of accounting, invoices, quotations, and expense tracking.
  • Good organizational and follow-up skills.
  • Strong attention to detail.
  • Good communication and coordination skills.
  • Proficiency in Microsoft Office / Google Workspace.
  • Experience in retail, commercial, or warehouse environments is preferred.
