Summary:
 The Projects Assistant supports the daily operations of projects within the Community Services Department, ensuring effective communication and project execution. This position plays a vital role in assisting with documentation, recordkeeping, and the successful administration of special projects and events.

Essential Duties & Responsibilities:

  1. Project Operations & Communication:
    • Interact with clients, vendors, and visitors.
    • Answer incoming calls and provide assistance as needed. 
    • Prepare responses to routine inquiries.
    • Perform general clerical duties such as copying, faxing, and filing.
    • Conduct research, compile data, and prepare documents for management.
    • Create and modify documents (reports, memos, letters) using Microsoft Office and THO system.
  2. Documentation & Recordkeeping:
    • Assist with processing and reporting requirements utilizing various programs.
    • Ensure recordkeeping complies with state and federal regulations.
    • Maintain confidentiality regarding client, staff, and agency information.
  3. Event Planning & Special Projects:
    • Assist in planning and executing special events and training programs.
    • Contribute to special projects that assist with the administration and operation of the program.
  4. Meetings & Training:
    • Attend and participate in meetings, team meetings, workshops, and training conferences as assigned.
    • Participate in local, state, regional, and national groups as needed.
  5. Compliance & Standards:
    • Comply with MCCAA Policies and Procedures, Head Start Performance Standards, and applicable Early Childhood Standards, including DHS Licensing Standards, CACFP, TN Department of Health, and NAEYC Accreditation Standards.
  6. Additional Duties:
    • Perform other duties as assigned by the supervisor.

Education & Experience Qualifications:

  • Education:
    • High School Diploma required; Certification or AA preferred.

Preferred Qualifications:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite.
