Job Summary:

Assists the front-end representative for the Human Resources Department while also performing a variety of administrative and clerical functions to support the departments of Human Resources. This role serves as the back-up function for the Human Resources Administrative Receptionist. 


Essential Functions and Responsibilities:

Assists as the back-up to the Human Resources Administrative Receptionist. Will professionally receive and announce visitors; taking and transmitting telephone messages; and providing information to the public in person and by telephone. Serves as a first-line representative of the Human Resources Department by demonstrating excellent customer service skills and a professional image.


Handles departmental scanning and indexing of employee files.


Performs administrative and clerical functions to support the Human Resources Department, inclusive of new hire processing, filing, data entry, and other applicable tasks regarding onboarding.


Assists applicants to assure they apply on appropriate applications and attach all required documentation; receives applications from the internet and insures proper scanning and electronic filing.


May Assists with data entry of Risk Management claims.


Creates and manages electronic and digital files and folders. 


Responds to inquiries via phone and in person regarding current advertised vacancies, required application procedures, and other Human Resources related topics.


Assists with scheduling interviews.


Performs other relevant work as assigned.


Regular and predictable attendance is required


Minimum Qualifications Required:

     

Education and Experience:

High School Diploma or G.E.D. and one to two years of work experience in a Human Resources Department or other professional customer service environment, in a supportive capacity.


Experience with Microsoft Office Suite of programs required.


Any equivalent combination of education and experience to meet the above stated qualifications.

 

Licenses and Certifications:

None

 

Knowledge, Skills and Abilities:

Skill in operating multiple telephone systems and routing calls.


Skill in operations of computer keyboard to enter and retrieve data.


Skill in electronic and digital filing to manage folders/files and transfer online documents and records.


Ability to deal courteously and diplomatically with the public and other employees.


Ability to communicate clearly and effectively, both orally and in writing.


Ability to manage several priorities simultaneously.


Ability to understand and implement instructions from supervisor.


Ability to communicate effectively both orally and in writing

Physical Ability: 

Essential functions of this position continuously require the ability to remain in a stationary position (sitting or standing); operate a computer and other office machinery, such as a calculator, copier, and printer. Incumbents must continuously be able to think analytically; handle stress and emotion, concentrate on tasks, remember names and other details; examine and observe details; make decisions, and adjust to change. Incumbents must also continuously direct others; meet deadlines; stay organized; use math/calculations and use a keyboard/type.

Essential Functions frequently require the ability to move about inside the office; and move/transport items up to 10lbs.

Essential functions occasionally require the ability to bend body downward and forward by bending spine and legs, and twisting at the waist, hips or knees; reach overhead; push or pull; and repetitively use hands/arms/legs. Incumbents in this position are occasionally required to be on-call and work irregular hours. 



Sensory Requirements: 

Essential functions regularly require the ability to use effective verbal and written communication; and use of hand/eye coordination and fine manipulation to use equipment.

 

Environmental Factors: 

Essential functions of this position continuously require the ability to either work with others or work alone.
