SUPERVISORY RESPONSIBILITIES
None.
SUMMARY
Under close supervision, provides professional reception, customer service, and routine clerical support for
the assigned school, program, or office. Serves as a primary point of contact for clients, visitors, employees,
and the public; receives and directs telephone calls and visitors; manages visitor access; processes mail and
documents; and performs routine data entry, filing, recordkeeping, and other clerical duties. Maintains
confidentiality and supports the efficient operation of the assigned location.

DUTIES AND RESPONSIBILITIES/ESSENTIAL FUNCTIONS
Maintains a professional, organized, and welcoming reception area.
Maintains a friendly, professional and courteous demeanor.
Receives, screens, and directs incoming telephone calls, visitors, and routine inquiries; provides general
information and resolves routine questions within established guidelines.
Receives and routes messages to appropriate staff and follows up as necessary to ensure messages are
delivered.
Monitors and manages visitor access to the facility in accordance with security procedures. Ensures visitors,
clients, vendors, and other guests sign in and comply with applicable visitor procedures.
Responds appropriately to unexpected visitors, security concerns, or emergencies and notifies appropriate
staff.
Adheres to the school/Agency confidentiality policy regarding clients.
Secures phone system, computer and postage machine at the end of the day.
Travels to Agency locations and other designated locations throughout Fresno County to deliver and retrieve
interagency mail, documents, and other materials as scheduled.
Performs general clerical duties including data entry, filing, typing, operating postage machine, computer,
and distribution of incoming and outgoing mail.
Responsible for opening and closing entrance gate and doors at beginning and end of the day.
Communicates with parents regarding date/times of meetings and other school-related business.
Prepares routine correspondence, reports, forms, lists, records, and other documents.
Maintains accurate electronic and paper files and records in accordance with Agency and program
requirements.
Assists with copying, scanning, printing, and distribution of documents and materials.
Enters and updates information in assigned databases, spreadsheets, or other electronic systems.
Travels for work related business using personal/organization vehicle.
Maintains regular attendance and punctuality.
Works evenings and weekends as required.
Performs other duties as assigned.
QUALIFICATIONS

EDUCATION:
High school diploma or GED.
EXPERIENCE:
Minimum of two years reception or clerical experience required, preferably in a school environment.
OTHER QUALIFICATIONS:
Proficient in Microsoft Office Suite and related business software.
Effective presentation, written and verbal communication skills.
Bilingual in English and Spanish or other secondary language preferred based on the needs of the clients
and the program.
Able to implement work plans to achieve goals and objectives.
Excellent communication and public relation skills.
Willing to work non-traditional hours and days to meet the needs of this position.
Maintain a valid California driver’s license, reliable transportation, and auto insurance in compliance with
state law, and meet the organization’s insurance requirements for operating organization vehicles.
