Projects You'll Support

This is a cross-divisional role supporting Project Managers, Estimators, and field teams across our Security & Access Control, Low Voltage, and Audio Visual project portfolios (not tied to a single team but woven into all of them).

What You'll Do

  • Keep Project Managers and Estimators on track with day-to-day scheduling, correspondence, and file organization
  • Prepare, distribute, and track purchase orders, and coordinate material ordering and delivery timing with vendors and the warehouse
  • Maintain accurate, up-to-date project documentation — submittals, change orders, RFIs, and as-built records
  • Coordinate crew and subcontractor scheduling logistics, including travel and lodging arrangements as needed
  • Track project status, budgets, and timelines, and help prepare status reports for internal and client review
  • Schedule and help run project meetings, kickoffs, and walkthroughs — agendas, notes, and all
  • Compile closeout documentation, including warranties, punch lists, and final project files
  • Support invoicing by coordinating with Accounts Payable/Receivable and verifying billing backup documentation
  • Serve as a go-to point of contact for routine client and vendor communications, looping in the right Project Manager when needed
  • Local travel may be required

What You'll Bring

•     High school diploma or equivalent (associate's degree a plus)

•     1–3 years of experience in an administrative, coordination, or customer service role

•     Construction, AV, or low-voltage industry experience a plus, but not required

•     Strong proficiency with Microsoft Office and Outlook

•     Experience with project management or scheduling software (i.e., Procore, Primavera P6, HeavyBid) a plus

•     Excellent organizational skills and the ability to juggle multiple projects and deadlines

•     Clear, confident written and verbal communication

•     Comfort coordinating with vendors, subcontractors, and teams across divisions
