What You'll Do:

 

As an Order Processor, you will play an important role in supporting WFCO Technologies' customers and internal operations by accurately processing customer orders, coordinating shipping information, and assisting with warranty claim processing.

 

Your Accountabilities in the Role:

 

  • Receives and processes customer purchase orders received by email, accurately entering orders into QuickBooks/ERP systems and maintaining complete and accurate order records.
  • Reviews customer orders and related documentation for accuracy, ensuring products, quantities, pricing, and other order information are correct and resolving discrepancies as needed.
  • Prepares and prints shipping orders for the following day's shipments, provides required documentation to the Shipping Manager, and follows up on completed shipments to ensure orders are properly invoiced in QuickBooks.
  • Reviews completed orders against invoices to verify accuracy and supports customer-specific ordering and processing requirements through training and established procedures.
  • Provides professional and responsive customer service by answering incoming calls, responding to customer questions, resolving concerns, and providing additional information or follow-up as needed.
  • Processes warranty claims by entering claims into the appropriate system, notifying customers of RGA numbers, and providing required paperwork to the warehouse for testing and processing.
  • Supports overall department operations by processing orders, maintaining organized files and records, learning additional responsibilities to provide backup support, and assisting with other projects and tasks as requested by the Supervisor.

 

Position Requirements:

 

  • Education: High School Diploma or equivalent required; will consider an equivalent combination of education and experience.
  • Experience: 1–2 years of experience in order processing, customer service, administrative support, data entry, or a related field preferred.
  • Functional Skills: Strong attention to detail and accuracy required; excellent organizational, planning, prioritizing, and follow-through skills; ability to manage multiple tasks and work effectively within deadlines; strong numeric and data-entry skills; accurate typing skills; ability to review orders, invoices, and related documentation for accuracy; strong customer service and problem-solving skills; ability to work independently and as part of a team; willingness to learn additional responsibilities and provide backup support as needed.
  • Technology Aptitude/Skills: Average ability with technology; comfortable using Microsoft Outlook and other standard office technology. Experience with QuickBooks is helpful but not required.
  • Language Skills: Basic verbal and written communication skills; able to communicate professionally with customers, coworkers, shipping personnel, and other internal team members.
  • Leadership/Behaviors: Demonstrates a strong customer-service personality; highly detail-oriented and accurate; dependable and organized; able to work independently and within teams; positive and cooperative; takes initiative and follows through on assigned tasks and able to prioritize work and meet deadlines.
  • Culture Match Behaviors: Customer-oriented, collaborative, gets along well with others; yet be responsible to ensure the work is complete, on-time, and accurate.

Other Important Information:

 

Position Pay: Hourly pay based on skills and experience.

Reports To: Office Manager

Core Hours: 7:00 am – 4:00 pm (1 hour lunch)

Typical Work Week: Monday to Friday; 40 hours per week.
