POSITION SUMMARY INFORMATION: DUTIES AND REQUIREMENTS


Position Overview: As an Administrative Supervisor at our immigration processing and custodial facility, you will oversee and streamline clerical operations, lead a dedicated team of administrative staff, and provide high-level support to facility leadership. In an environment supporting hundreds of personnel, you will ensure seamless daily administrative workflows, maintain rigorous record accuracy, and enforce strict compliance with federal regulations and company policies. The ideal candidate is an experienced leader, detail-oriented, and equipped to manage high-volume data, scheduling, and multi-departmental coordination in a fast-paced, secure setting.


Responsibilities

  • Directly supervise, train, and evaluate administrative support staff; manage shift assignments, work priorities, and daily administrative operations across the facility.
  • Oversee high-volume timekeeping, attendance tracking, shift coverage, and basic payroll support functions for facility staff.
  • Maintain, audit, and organize complex filing systems, personnel files, and operational records to ensure 100% audit readiness and compliance with federal guidelines.
  • Serve as the primary administrative point of contact for facility leadership; prepare high-level reports, statistical data, executive correspondence, and briefing materials.
  • Coordinate the administrative intake and onboarding of new personnel, ensuring tracking of security clearances, background checks, and required documentation.
  • Facilitate clear, swift communication between custody, logistics, medical, and administrative departments to ensure uninterrupted facility workflow.
  • Oversee facility-wide office supply inventory, procurement tracking, and administrative equipment maintenance.
  • Enforce strict data security standards and maintain complete confidentiality regarding sensitive personnel, operational, and detainee information.
  • Identify workflow bottlenecks and implement standardized administrative procedures to enhance overall facility efficiency.

Qualifications

  • Minimum of two (2) years of supervisory or team lead experience in an administrative capacity.
  • Minimum of ten (10) years of administrative experience within a military, law enforcement, immigration, or detention/corrections environment.
  • High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
  • Advanced skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience managing complex electronic database systems.
  • Must be at least 21 years of age and able to provide proof of US citizenship or legal US work authorization.
  • If prior active-duty military, must provide DD-214(s) showing an honorable or favorable discharge condition.
  • Clean criminal record; must consent to fingerprinting and successfully pass a comprehensive federal background check and security screening.
  • Ability to pass a pre-employment medical assessment and drug screening.
  • Exceptional leadership, conflict resolution, observation, and executive report-writing skills; ability to remain calm and decisive under pressure.
  • Ability to work flexible schedules, including nights, weekends, and holidays, to support 24/7 facility operations.

Work Environment:

Employees may be exposed to extreme cold or hot weather conditions, fumes, or airborne particles, toxic or caustic chemicals, and loud noise.


Physical Requirements:

Employees may be required to remain in a stationary position, stand, push, pull, climb, kneel, crawl, balance, squat, bend, and reach. Employees may be also required to use gear to move items around, including, but not limited to, carts and dollies. Employees may also be occasionally required to lift and/or move up to 49 pounds.
