The Administrative Specialist at Triangle Veterinary Referral Hospital provides administrative, analytical, and operational support to hospital leadership in a fast-paced emergency and specialty veterinary hospital. The position supports daily operations as well as financial analysis, pricing, reporting, recruitment, marketing, and hospital growth initiatives.
Key Responsibilities
- Provide administrative support to hospital leadership, including scheduling, records, correspondence, meetings, and special projects.
- Assist with payroll, invoicing, reconciliation, and financial administration.
- Support pricing analytics, including fee reviews, market research, pricing updates, and analysis of pricing and revenue trends.
- Prepare and maintain financial, operational, and KPI reports, dashboards, and spreadsheets for leadership.
- Analyze data and identify trends, discrepancies, and opportunities to support business decisions.
- Support hospital development initiatives, including market research, new services, expansion opportunities, partnerships, and business-development projects.
- Provide basic marketing and social media support, including coordinating approved content, gathering photos and updates, and maintaining the hospital’s content calendar.
- Assist with recruitment coordination, candidate travel and itineraries, communications, and vendor coordination.
- Maintain confidentiality and work collaboratively with hospital leadership and team members.
Qualifications
- Strong organizational, analytical, and communication skills.
- Excellent attention to detail and follow-through.
- Strong proficiency with Excel/Google Sheets and Microsoft Office or Google Workspace.
- Comfortable working with financial data, reports, and spreadsheets.
- Ability to manage multiple priorities in a fast-paced environment.
- Proactive, professional, adaptable, and trustworthy.
- Veterinary or healthcare experience preferred but not required.
Work Environment
- Work is performed in a busy, fast-paced 24/7 veterinary specialty and emergency hospital.
- Frequent interaction with dogs, cats, and occasionally other animal species of varying sizes and temperaments.
- Must be comfortable working around medical equipment, cleaning chemicals, and areas where patient care is being provided.
- Adhere to hospital safety policies, infection prevention protocols, and biosecurity procedures.
- Maintain a professional, respectful, and service-oriented approach when interacting with clients, staff, vendors, and contractors.
- Maintain confidentiality regarding hospital operations, patients, and client information.
Full-time, on-site, Monday–Friday daytime hours. Occasional evenings or weekends may be required.
