The Project Services Coordinator is responsible for providing comprehensive administrative, financial, contractual, and project support throughout the project lifecycle. This position serves as a key connection point between Project Managers, Finance/Accounting, clients, subcontractors, and leadership to ensure projects are properly established, contract requirements are followed, billing is accurate and timely, accounts receivable is actively tracked, and project documentation is complete and compliant. The ideal candidate is highly organized, detail-oriented, financially minded, and comfortable working with contracts, project financial information, invoices, subcontractor documentation, and deadlines. This role requires someone who can independently identify issues, follow up with project stakeholders, and maintain strong controls without requiring constant direction. The Impact You'll Make Set up new projects in the company’s project accounting/ERP system. Establish project budgets, WBS, contract values, billing terms, and other required project information. Maintain project records, documentation, and status throughout the project lifecycle. Coordinate project changes, amendments, and updates to project financial and contractual information. Process the monthly billings for projects while following contract requirements Assist Project Managers with project administrative tasks, forecasting, and reporting and other duties assigned. The Expertise You'll Bring 3+ years of experience in project administration, contract administration, project accounting, billing, or accounts receivable Experience working with project-based accounting/ERP systems. Strong understanding of contracts, project billing, and financial documentation. Demonstrated understanding of overhead, profit, markups, and project cost application. Experience reviewing subcontractor invoices and processing subcontract agreements preferred. Strong understanding of accounts receivable and invoice collection processes. Ability to work independently, prioritize work, and proactively follow up with others. Preferred Qualifications Experience in architecture, engineering, construction, environmental, professional services, or consulting. Experience with Deltek Vision, Oracle, or similar project accounting/ERP systems. Familiarity with project-based overhead and profit structures.
