Position Summary:Â
The Administrative Assistant is a hands-on, versatile role supporting the day-to-day operations of Colanar. This person will serve as a go-to resource for the team, helping wherever needed with responsibilities such as answering phones, supporting reception and visitors, organizing materials, preparing labels and diagrams, assisting with engraving-related activities, running occasional errands, and supporting administrative and operational projects.Â

The ideal candidate is reliable, organized, resourceful, and comfortable wearing multiple hats. Extensive administrative experience is not required, but candidates should be comfortable with computers and Microsoft Office, willing to learn, and able to adapt to changing priorities. No two days will look exactly the same, making this a great opportunity for someone who enjoys variety and being an important part of a team.Â

Essential Functions and Responsibilities:Â
- Answer and direct incoming calls; greet and assist visitors and customers at the front reception area and provide facility access as needed.Â
- Prepare conference rooms and common areas for customer visits, meetings, and events, including coordinating lunches and other visitor needs.Â
- Provide general administrative and operational support to the Senior Vice President of Operations and the broader Colanar team.Â
- Organize and maintain office, production, and operational materials, including change-part bins and related equipment.Â
- Create, print, and apply labels for bins, parts, equipment, and other materials; create and update pictograms, diagrams, and visual materials for change parts and equipment.Â
- Support engraving-related activities and assist with office, facility, and organizational projects that improve efficiency.Â
- Run occasional local errands, including picking up materials, supplies, meals, or items from vendors.Â
- Perform general administrative tasks such as copying, scanning, filing, printing, data entry, and other team support.Â
- Utilize Microsoft Office applications, including Word, Excel, and Outlook, along with other company systems as needed.Â
- Maintain a clean, organized, and professional reception and office environment.Â
- Assist with miscellaneous projects and tasks, adapt to changing priorities, and take on new responsibilities as business needs change.Â
- Communicate professionally and courteously with employees, customers, vendors, and visitors.Â

Qualifications Desired:Â
- High school diploma or equivalent required.Â
- Previous administrative, office, receptionist, customer service, manufacturing, or general business experience preferred, but not required.Â
- Comfortable using computers and learning new software and systems.Â
- Working knowledge of Microsoft Office, particularly Outlook, Word, and Excel.Â
- Strong organizational skills and attention to detail.Â
- Ability to manage multiple tasks and shift priorities throughout the day.Â
- Professional and friendly communication skills.Â
- Dependable, punctual, and willing to take ownership of assigned tasks.Â
- Ability to work independently while also supporting a broader team.Â
- Comfortable performing a combination of office-based and hands-on tasks.Â

Nonessential Skills and Experience:Â
- Experience working in a manufacturing, industrial, automation, engineering, or technical environment is a plus.Â
- Experience creating labels, diagrams, signs, or other visual materials is helpful.Â
- Familiarity with printers, label makers, or similar office equipment is a plus.Â
- Experience with administrative support in a small or growing company is preferred.Â
- Ability to learn basic processes related to change parts, equipment, and manufacturing operations.Â
- A positive, flexible, and team-oriented attitude.Â
- Someone who is naturally proactive and looks for ways to help rather than waiting to be asked.Â
