JOB SUMMARY:

Assembles, analyzes, sorts and files reports into unit medical record in a timely, efficient manner. Exhibits the F.I.R.S.T. values (Friendliness, Innovation, Respect, Service, and Trust.)

                                                             

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:

  1. Serves as the Medical Records representative. Handles all walk in requests for medical records.
  2. Interacts positively with patients and public; taking into consideration any special needs related to age, emotional condition, or ability. Handles difficult situations appropriately.
  3. Expert in release of information guidelines; Dealing with power of attorney, guardianship, sensitive health information, etc. Verifies that all release forms are completed appropriately. May be required to visit a patient’s room to complete release of information or proxy form.
  4. Handles subpoenas and distributes appropriately when served.
  5. Primarily responsible for enrolling patients in the Patient Portal, handling calls/questions regarding the Patient Portal, and answers direct messages from patients through the Patient Portal secure messaging.
  6. Acts as the primary contact for all incoming telephone calls, takes messages, routes calls, and provides routine information to customers promptly and professionally.
  7. Demonstrates the ability to use the various computer software available for chart processing and viewing.
  8. Assists in maintaining the unbilled report by obtaining and scanning clinic orders that were not captured upon registration.
  9. Maintains confidentiality of patient identity and protected health information by practicing HIPAA Guidelines.
  10. Works closely and maintains a positive relationship with Diagnostic Imaging, Lab and Associate Health.
  11. Demonstrates the ability to function within the electronic medical record in order to provide information to customers.
  12. Demonstrates a commitment to professional accountability and growth to maintain and expand knowledge and skills.

WORKING CONDITIONS, HAZARDS AND PHYSICAL EFFORT:

For extended periods in a stationary position and moving around the unit. Must be able to move or position 10 lbs.in weight above shoulder level for filing. Requires close mental and visual attention to details. Requires ability to concentrate for long periods of time while dealing with distractions. Stressful environment where variable workload must be completed with prescribed time frames using fixed staff resources. Must be able to read documents appropriately.

Patient, family members and significant others, physicians and Associates, other healthcare providers, community resource personnel, administrative staff and hospital support services.

 

EQUIPMENT USED/SPECIAL SKILLS REQUIRED:

Computers, fax machine, microfilm reader/printer. Demonstrated knowledge of filing systems. Good organization skills, with orientation to detail and accuracy; good oral and written communication skills; ability to relate effectively with the medical staff, ancillary departments, and business office staff.

Qualifications

One (1) year of previous general office experience.
