Loch Harbour Group is seeking a Managers Administrative II to provide high-level administrative and logistical support to our management team while helping run the day-to-day operational programs that keep the office moving. This role blends traditional executive support with program coordination, giving you ownership over scheduling, correspondence, records, and the logistics behind internal training and personnel initiatives.Â
You will manage calendars, coordinate meetings and events, and maintain accurate personnel and training records, while also independently running the logistics for internal programs — from scheduling and rosters to communications and materials. You will work closely with Management, Human Resources, and Operations to make sure information flows smoothly, and nothing falls through the cracks.Â

Administrative SupportÂ
• Manage complex calendars, scheduling, and correspondence for senior management, prioritizing and resolving conflicts independentlyÂ
• Serve as a point of contact for internal and external inquiries, providing exceptional support to staff, leadership, and outside partnersÂ
• Draft, proofread, and manage email and written correspondence on behalf of managementÂ
• Maintain organized, accurate records and files, including personnel and training documentationÂ
• Coordinate logistics for meetings, training, and events, including location, materials, presenters, and A/V setupÂ
• Monitor shared inboxes and distribution lists to ensure timely, professional responsesÂ
• Handle sensitive and confidential information with discretion and sound judgmentÂ
Program & Operations CoordinationÂ
• Independently manage logistics for internal training and development programs, including scheduling, rosters, communications, and course materialsÂ
• Track and update personnel and training records in coordination with Human Resources and department leadsÂ
• Analyze administrative and program data, and prepare reports and summaries for managementÂ
• Support onboarding and offboarding logistics for new and departing staffÂ
• Assist with day-to-day office operations, including supply management, room setup, and vendor coordinationÂ
• Support process improvement initiatives aimed at increasing administrative and operational efficiencyÂ
• Maintain reusable administrative content and templates for internal useÂ
EducationÂ
• Bachelor's degree preferred, or equivalent professional experienceÂ
• 3+ years of administrative, office management, or program coordination experience; experience supporting a federal contractor or government environment is a plusÂ
Experience / RequirementsÂ
• Demonstrated experience managing calendars, correspondence, and logistics for management or executive-level staffÂ
• Experience coordinating training, HR, or operational programs, including scheduling and records managementÂ
• Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneouslyÂ
• Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams, and SharePointÂ
• Excellent written and verbal communication skills, with the ability to interact professionally with staff and leadershipÂ
• Experience analyzing data and preparing clear, concise reportsÂ
• Comfortable working with sensitive or confidential information and exercising discretionÂ
• Self-starter with a positive, service-oriented attitude and the ability to thrive in a fast-paced environmentÂ
