Job Summary: 

The Front Desk/Office Administrator is responsible for providing a variety of administrative and office support services to ensure the smooth and efficient functioning of the office. This role involves managing office supplies, coordinating office activities, supporting communication between departments, and handling general administrative tasks. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. 

Key Responsibilities: 

 

Front Desk Support 

  • Provide front desk coverage by greeting visitors, accepting deliveries, and serving as a first point of contact for employees, clients, and guests.
  • Maintain the security visitor log and support proper visitor check-in and check-out procedures.
  • Answer and route incoming phone calls, emails, and general inquiries.
  • Help ensure common areas are organized, stocked, and ready for daily use.
  • Manage conference room calendars and help ensure rooms are organized and prepared for meetings.

Administrative Support

  • Maintain office supplies and assist with keeping shared office spaces organized and stocked.
  • Provide routine printing, filing, scanning, copying, and document preparation support.
  • Assist with scheduling meetings, coordinating calendars, and preparing basic meeting materials.
  • Support catering, and other routine administrative requests as needed.
  • Assist with maintaining records, spreadsheets, and other administrative documentation.
  • Provide general administrative support to employees and leadership as assigned.

Office Coordination 

  • Support incoming and outgoing mail, packages, and deliveries.
  • Assist with ordering supplies and coordinating routine vendor or facility requests.
  • Partner with internal teams to support day-to-day office needs and special administrative projects.

Qualifications: 

  • Education: High School diploma or equivalent required; associate or bachelor’s degree in business administration or related field preferred, or combination of experience and education. 
  • Experience: 2+ years of experience in an administrative or office support role.

  • Required Skills:
  • Experience with office management software, such as Microsoft Office Suite or Google Workspace.
  • Strong organizational and multitasking abilities. 
  • Excellent written and verbal communication skills. 
  • Proficiency with office software and equipment. 
  • Attention to detail and problem-solving skills. 
  • Highly professional and positive demeanor, with the ability to interact effectively with colleagues, clients, and visitors.
  • Preferred Skills:
  • Experience working in a federal contracting environment or secure facility.

Work Environment/Physical Requirements: 

  • Primarily office-based work with a moderate amount of sitting, standing, and walking. 
  • Occasional lifting of office supplies or equipment up to 20 lbs. 
  • Ability to work in a fast-paced environment with frequent interaction with staff and management. 

Work Schedule: 

This is a full-time position, typically working 40 hours per week. Overtime may be required depending on operational needs.
