As an Administrative Specialist, you’ll provide essential operational and administrative support to client service professionals across multiple locations. This role is ideal for someone who thrives on organization, accuracy, and follow‑through and who finds purpose in helping teams meet deadlines and deliver work that makes a real impact for clients in the food and agriculture industry.

 

We are currently looking for an Administrative Specialist to join our team in Chico, CA.

The Administrative Specialist should expect to:

  • Support client service professionals with administrative tasks, such as drafting letters, running reports, communicating with clients, and scanning documents for filing or processing
  • Monitor reports and follow up with clients to ensure that returns are filed on time
  • Manage front desk reception, answering phones, and directing calls for multiple locations
  • Provide administrative support by executing scanning and autoflow tasks, maintaining cleanliness and stock in break rooms, and organizing and managing files efficiently
  • Prepare and meter postal mail
  • Schedule and organize office meetings, including making catering arrangements, set up and cleanups
  • Serve as a support role in finalizing professional documents to be delivered to clients
  • Other administrative or firm tasks based upon interest and need

 

What you Will Need for This Position

  • Comfortability navigating new technology tools and demonstrated proficiency in MS Windows, Adobe and Office suite. The role requires the ability to quickly grasp and become proficient in a variety of software applications relevant to the position. Candidates should demonstrate a willingness to learn and adapt to new technologies as needed.
  • Demonstrated success in providing extraordinary client service.
  • Demonstrated time management skills, ability to prioritize, and adapt to change.
  • Excellent oral communication and organizational skills.
  • Attention to detail.
  • Willingness to perform under pressure when deadlines call for swift action.
  • Ability to multi-task without sacrificing accuracy.
  • Collaborative and effective in working with different leadership styles and a variety of individuals at all levels within the organization.

Compensation: In some states and municipalities, Pinion is required by law to include a reasonable estimate for range of compensation. When making compensation decisions, Pinion takes into account a variety of factors including but not limited to experience, skills, certifications/licenses, and geographic location. The wide range for this role reasonably accounts for these factors. Specific compensation decisions are made based on the facts and circumstances of each case. A reasonable estimate of the current range is $20-23 per hour.
