JOB SUMMARY

Ā 

The Temporary Payroll Clerk is responsible for the management of end-to-end weekly and semi-monthly payroll processing according to required schedules. This position will also provide administrative support and team support to the accounting department as needed and assist with departmental and team projects.

RESPONSIBILITIES

  • Manage end-to-end weekly and bi-weekly payroll processing within ADP, ensuring process is followed and all issues resolved.
  • Ensure accurate and timely calculation of wages, deductions, commissions, and bonuses, while maintaining confidentiality and data security.
  • Review and verify payroll reports, reconciliations, and journal entries, addressing any discrepancies or variances.
  • Prepare and distribute payroll statements, earnings summaries, and tax forms as required.
  • Monitor and maintain compliance with local, state, and federal payroll regulations, including tax obligations, record-keeping, and reporting requirements.
  • Stay up to date on changes in payroll legislation and ensure compliance with federal, state, and local regulations.
  • Serve as an advisor to in providing guidance and support on payroll policies, procedures, and relevant legal and regulatory changes.
  • Provide extraordinary customer service by resolving questions, issues, and requests from other accounting team members, employees, HR, IT, and other parties efficiently and correctly.
  • Develop in-depth understanding of payroll software and HRIS. Creates reports on demand.
  • Review employee timecards for accuracy and reconcile variances.
  • Reach out to managers and supervisors with questions and concerns pertaining to employee timecards.
  • Manage the performance of other payroll tasks including processing of retros, overpays, garnishments, and state unemployment insurance, and quarterly unemployment tax verifications.
  • Perform U.S. payroll tax tasks within ADP.
  • Lead tax relationship with ADP for net pay, garnishment, unemployment, and taxes.
  • Perform review tasks related to processing each payroll on time and thoroughly.
  • Manage the processing of off-cycle checks, with Controller approval, to resolve pay issues as needed.
  • Lead the resolution of payroll processing errors and any required follow up including all urgent errors and issues.
  • Mange the process working with ADP to resolve any wage pay, garnishment issues or errors, and unemployment tax.
  • Collaborate with HR, Finance, and other relevant departments to ensure accurate capture and processing of employee data, salary changes, and related payroll information.
  • Ensure that all payroll tasks are completed as documented including resolution of employee overpayments, escheatment, report production, and review of payroll variance reports for each payroll.
  • Ensure all tasks and processes are fully documented, and such documentation is up to date and easy to follow.
  • Manage payroll tax monitoring for all payroll tax deposits and payments/returns prepared by ADP to ensure compliance and including any returns prepared by Company.
  • Manage payroll tax reconciliation and research differences for quarter and annual filings including Form W-2’s in ADP.
  • Manage response to employee questions related to payroll tax withholdings and process daily change report for employee related tax changes.
  • Lead and approve all payroll system testing including regular planned updates, large implementations, urgent system fixes, and tax rate update testing.
  • Collaborate with team to payroll business continuity plan is up-to date and ready for execution.
  • Lead year end and year beginning payroll tasks, including payroll processing of W-2 / 1099 / 3921 / 83B.
  • Ensure work with internal and external auditors to provide requested payroll information for walkthroughs and other requests relating to annual financial audits, 401(k), and other audits as required.

MINIMUM JOB REQUIREMENTS

Ā 

  • Excellent interpersonal, verbal, and written communication skills, with the ability to effectively understand and communicate complex information to diverse audiences, and interface with all levels of management; Bilingual English/Spanish preferred.
  • Strong analytical and numerical aptitude coupled with problem-solving skills.
  • Strong computer skills required with the ability to quickly learn new systems.
  • Excellent proficiency with various computer systems including Microsoft Outlook and Excel (pivot tables, etc.)
  • A self-starter, proactive and adaptable mindset, highly motivated, "get-the-job-done" attitude.
  • Must possess a strong commitment to data integrity and process improvement.
  • Excellent time management skills and attention to detail: ability to manage multiple details and deadlines in a fast-paced environment.
  • Must be able to work independently, without direct supervision.
  • Must be able to understand and abide by all company and safety regulations and policies.

  • Repetitive movements by feet, shoulders, arms, wrists, hands, and back in the performance of work.
  • This position operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

EXPERIENCE & QUALIFICATIONS

  • Bachelor’s degree in Accounting or Finance is strongly preferred.
  • A minimum of 3 years current payroll experience in ADP Workforce Now.
  • Extensive knowledge of US payroll, including tax compliance.
  • Experience working with ADP Services which include garnishment, wage payment, tax, and unemployment verification services.
  • Prior experience in a construction / skilled labor / diverse workforce environment strongly preferred.
