Are you the person who organizes everything?
BuildX builds accessory dwelling units — small, complete homes that families add to their property so a loved one can live close by, in their own space, with their own front door. Every one of those builds is a real family waiting on us to get it right.
Our project managers run the job sites. This role runs everything behind them. You are the person in the office who keeps every active project organized, documented, scheduled, and moving — so that when a field PM needs a permit, a signature, a delivery date, or an answer, it is already handled.

What you’ll do
•   Own the project file for every active build — contracts, change orders, permits, selections, invoices, photos, warranties. Filed the same way, every time, so anyone on the team can find anything in under a minute.
•   Be the office-side partner to our field project managers. Prep their paperwork, chase what they need, and take everything off their plate that doesn’t require standing on a job site.
•   Keep our project management software current — daily logs, to-dos, schedules, budgets, documents. If it happened today, it’s in the system today.
•   Track permits, inspections and town paperwork across multiple towns, and keep a live status on every one.
•   Track orders and deliveries. Know what’s ordered, what’s landed, and what’s running late before anyone has to ask you.
•   Schedule and confirm subcontractors, inspections, and homeowner meetings.
•   Keep homeowners informed — clear, fast, written confirmations and updates.
•   Build and maintain the checklists, templates and trackers that make every project run the same way.
What we’re looking for
•   Serious organizational skill. Not “pretty organized.” The kind where you already have a system for your own life and it bothers you when other people don’t.
•   Attention to detail that borders on uncomfortable. You notice the wrong date, the transposed number, the address that doesn’t match the permit.
•   Genuinely fast and confident on a computer. Strong typing speed, strong Excel/Google Sheets, and the ability to learn new software quickly without being walked through it twice.
•   Clear, professional written communication. Most of this job is writing.
•   Follow-through. You close loops without being reminded.
•   Comfortable running 8–12 active projects at once without dropping any of them.
•   You want the work you do to actually matter to somebody.
•   Three or more years in a role where you were responsible for keeping other people’s work organized — project coordination, operations, office management, scheduling, legal or medical admin, dispatch. The industry matters less than the track record.
•   You live within 45 minutes of Carver, MA and can be in the office at least 3 days a week. This one is firm.
Helpful, but not required
•   Construction, remodeling, architecture, engineering or trades background
•   Experience with construction project management software (JobTread, Buildertrend, Procore, CoConstruct or similar)
•   Experience with Massachusetts building permits or municipal paperwork
•   Notary commission
What you do NOT need
You don’t need field experience, a construction degree, or the ability to swing a hammer. We will teach you the construction side. We cannot teach you to care about details — that part you bring with you.
