About the Assignment

Southwind Foods is a U.S. owned and operated company supplying grocery, distributor, and food service customers with fresh and frozen, responsibly harvested seafood from around the world.

We are seeking a Receptionist to cover a temporary, full-time assignment supporting our front desk and administrative operations. This is a temporary position of approximately 6-12 months. The assignment may be shortened or extended based on business needs, and it is not a permanent position. Candidates should be comfortable with a defined-duration engagement.

Bilingual English/Spanish is preferred in order to communicate effectively with our production workforce, vendors, and customer base.

 Key Responsibilities
Â
 Front Desk & Reception
 - Greet and welcome visitors, ensuring a professional and friendly first impression
 - Answer, screen, and direct incoming phone calls to the appropriate personnel
 - Manage incoming and outgoing mail, packages, and deliveries
 - Maintain a clean, organized, and presentable reception area
 - Assist walk-in customers and vendors with general inquiries and direct them to the right contact
 - Follow visitor sign-in and site access procedures

 Administrative & Clerical Support
 - Perform accurate data entry and record-keeping in company systems and spreadsheets
 - Maintain and update customer and vendor records
 - Organize and manage office documents, files, and reports for easy retrieval
 - Support scheduling of meetings, appointments, and conference calls
 - Provide clerical support to Purchasing, Sales, and Customer Service as needed
 - Order and monitor FedEx office suppliesÂ

Customer Service & Communication
 - Provide courteous, professional service by phone, email, and in person
 - Take and relay accurate messages regarding invoices, orders, and account questions
 - Coordinate with internal teams to ensure prompt follow-up on customer concerns

Compliance & Confidentiality
 - Handle confidential company, customer, and employee information with discretion
 - Follow established standard operating procedures for front desk and administrative functions
 - Comply with company policies, site safety rules, and data security practices

Qualifications
Â
Required
 - High school diploma or equivalent
 - 1+ year of experience in reception, front desk, customer service, or administrative support
 - Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
 - Strong attention to detail and accurate data entry skills
 - Clear verbal and written communication skills
 - Ability to prioritize and multitask in a fast-paced environment
 - Ability to handle confidential information with discretion

Preferred
 - Bilingual English/Spanish
 - Experience with an ERP or accounting system (e.g., QuickBooks, Microsoft Dynamics 365)
 - Prior experience in a food production, distribution, or manufacturing environment
 - Familiarity with basic billing or accounts receivable processes

Work Environment & Physical Requirements
Â
 This is primarily an office-based role with frequent interaction with visitors, employees, and vendors, located within an active food production and distribution facility.
Â
 - Must be able to sit, stand, and walk for extended periods
 - Must be able to lift and carry up to 25 lbs as needed
 - Must be able to operate standard office equipment and a computer for extended periods
