Vision: The Childcare Coordinator helps make ministry participation possible by coordinating safe, organized, well-staffed childcare for identified TBC programs, classes, meetings, and events. 

The primary age range is birth through age 5; however, childcare needs may occasionally include other age groups as determined by the ministry or events at The Bible Chapel.




Responsibilities


  • Coordinate childcare for identified TBC ministry programs, classes, meetings, and events, including but not limited to Discover TBC, Membership Class, Moms Together, Chapel Kids Wednesday, and other ministry opportunities as requested.
  • Partner with individual ministry leaders to assess childcare needs for each ministry opportunity, determine appropriate staffing levels, schedule workers, and communicate unresolved event-specific staffing gaps to the appropriate ministry leader and Associate Director. The coordinator works collaboratively with individual ministry leaders to support their ministry needs, while the Associate Director provides direct supervision, direction, and accountability for the role.
  • Help process requests for childcare, including expected lead times, required event and registration information, anticipated age ranges and attendance, and staffing expectations. Communicate the request process to ministry leaders and help identify when a request cannot reasonably be staffed within the available timeframe.
  • Recruit, train, schedule, equip, encourage, and retain paid and volunteer childcare workers in alignment with TBC Serve Team practices.
  • Maintain accurate childcare schedules in Planning Center Online (PCO) Services and communicate schedules and expectations to childcare workers in a timely manner.
  • Ensure each paid childcare worker completes TBC’s contractor onboarding workflow in Planning Center Online (PCO), including the required contract and clearance process, before being scheduled to serve.
  • Ensure childcare workers understand and follow TBC child safety, check-in/check-out, emergency, and other applicable ministry policies and procedures.
  • Be on site as needed to coordinate and supervise childcare and provide direct childcare when necessary.
  • Provide appropriate supplies, resources, and materials to childcare workers. When ministry-specific curriculum or teaching is used, coordinate with the responsible ministry leader regarding content and direction.
  • Manage childcare purchases and supplies within the budget established by the Associate Director and submit purchase requests or approvals as required.
  • Communicate childcare registration information, schedules, procedures, and expectations to parents and caregivers; respond to routine questions and follow up on concerns, escalating significant ministry, behavioral, safety, or family concerns to the Associate Director or appropriate ministry leader.
  • Coordinate the accurate and timely submission of paid childcare hours and related information for payroll processing.
  • Attend and participate in Chapel Kids leadership meetings and other meetings directly related to the responsibilities of this role.
  • Support other childcare needs and responsibilities as assigned by the Associate Director.

Qualifications: The ideal candidate will be a growing believer in Jesus Christ who is in agreement with the doctrine and ministry philosophy of The Bible Chapel. They should have experience working with children and/or volunteers in a church, school, camp, childcare, or similar setting; demonstrated ability to recruit, coordinate, schedule, encourage, and lead people; and strong communication, organization, follow-through, and problem-solving skills. The candidate should be able to manage multiple ministry requests and changing childcare needs, work collaboratively under the direction of ministry leadership, and exercise sound judgment when concerns need to be escalated. Comfort using, or a willingness to learn, Planning Center Online (PCO) and other ministry communication and scheduling tools is also expected.





Time/Allocation: Part-time, Stipend Tier 3 (15 - 19.5 hr/wk)


Reporting: The Chapel Kids Childcare Coordinator reports directly to the Associate Director of Chapel Kids: Nursery - Preschool.
