Trystar’s team members are our most important asset, and we are in search of a Office Services Administrator based out of our Burnsville, MN office. 
 
 Reporting directly to the Senior Executive Assistant to the CEO & Executive Office, the Facilities & Workplace Services Coordinator serves as the primary point of contact for workplace planning and operations, events and meeting support, and administrative assistance and enterprise coordination. This role creates a professional, organized, welcoming, and highly functional workplace environment that enables employees and leaders to focus on serving customers and executing company priorities.
 

The role acts as the connective tissue between employees, site leadership, facilities vendors, property management, HR, IT, Security, Finance, and the Executive Office. It combines hands-on coordination with proactive planning, practical problem solving, and ownership of the day-to-day workplace experience.

 In this role you will get to:


Workplace Planning and Operations:

  • Serve as the primary point of contact for workplace, office, and facility-related needs at assigned locations.
  • Coordinate day-to-day office operations, including office supplies, vendor relationships, workplace standards, and overall site readiness.
  • Maintain workplace procedures, site documentation, seating plans, directories, records, and related administrative resources.
  • Coordinate workspace assignments, employee moves, office reconfigurations, furniture installations, and workplace improvements.
  • Partner with HR, IT, hiring managers, and department leaders to ensure workspace readiness for new hires, transfers, and organizational changes.
  • Recommend and implement workplace improvements that enhance employee experience, collaboration, productivity, and efficient use of space.
  • Serve as liaison to property management, facilities vendors, and internal support teams to coordinate workplace services and site needs.
  • Coordinate facility maintenance, repairs, inspections, janitorial services, security access, workplace equipment, and other building-related services.
  • Support facility improvement projects, workplace upgrades, and office renovation activities.
  • Track facility-related issues through resolution, communicate updates to stakeholders, and escalate safety, security, or workplace concerns as appropriate.


Event and Meeting Support:

  • Lead planning and execution of employee events, recognition activities, community events, employee engagement programs, town halls, functional offsites, training events, department meetings, and other large gatherings.
  • Coordinate event and meeting logistics, including scheduling, room reservations, catering, vendors, communications, audiovisual needs, materials preparation, registration, signage, setup, and day-of execution.
  • Partner with HR, Communications, site leaders, functional leaders, and sponsoring leaders to ensure events and meetings are professionally executed, aligned with business objectives, and reinforce Trystar culture.
  • Support presentation preparation, meeting packets, agendas, attendee communications, and follow-up tracking as needed.
  • Maintain planning checklists, vendor information, and standard processes to improve consistency, efficiency, and execution quality.


Administrative Assistance and Enterprise Coordination:

  • Partner closely with the Senior Executive Assistant to the CEO & Executive Office to ensure workplace services, site administration, leadership support, and enterprise activities are aligned with Executive Office priorities.
  • Provide support for enterprise-wide initiatives, executive events, company meetings, workplace activities, executive hospitality, visitor readiness, and related site logistics as needed.
  • Escalate CEO-sponsored initiatives, board-related matters, and Executive Office priorities for alignment and direction as appropriate.
  • Identify opportunities to improve workplace services, employee experience, event execution, and administrative efficiency through the development of scalable processes, standards, tools, and documentation.
  • Track service requests and recurring issues, recommend cost-effective solutions, and support continuous improvement efforts that enhance responsiveness, consistency, and employee experience.

Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration, Facilities Management, Hospitality, Communications, Human Resources, Operations, or related field preferred; equivalent experience will be considered.
  • 3-7 years of experience in workplace services, office management, executive administration, employee experience, event management, hospitality, operations coordination, or a related role.
  • Demonstrated experience coordinating office operations, workplace services, employee events, facilities activities, leadership meetings, or administrative programs.
  • Strong organizational skills with the ability to manage multiple priorities, details, vendors, stakeholders, and deadlines simultaneously.
  • Excellent communication and interpersonal skills with the ability to work effectively with employees, managers, executives, vendors, and visitors.
  • Experience coordinating vendors, service providers, meeting logistics, catering, supplies, office moves, or workplace-related activities.
  • Strong problem-solving skills and the ability to independently resolve issues while knowing when to escalate sensitive, ambiguous, or high-impact matters.
  • High degree of professionalism, discretion, sound judgment, and customer-service orientation.
  • Proficiency with Microsoft 365 including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint/OneDrive; comfort with collaboration, scheduling, and task-tracking tools.
  • Strong attention to detail and ability to execute with minimal supervision in a fast-paced, high-growth environment.
  • Ability to lift, move, or coordinate movement of workplace materials, event supplies, small packages, and office items as needed.
  • Comfortable working in a manufacturing, industrial, multi-site, and transformation-oriented environment.

Preferred Qualifications:

  • Experience in manufacturing, industrial, engineering, distribution, or multi-site environments.
  • Experience supporting executive teams, Senior Leadership Team meetings, department meetings, town halls, or corporate events.
  • Exposure to facilities management, workplace planning, office moves, space management, vendor management, access control, or office relocations.
  • Experience coordinating employee engagement programs, culture-building activities, recognition events, and large internal gatherings.
  • Familiarity with workplace service systems, facilities request tracking, purchase orders, invoices, budget tracking, and vendor records.
  • Experience using AI-enabled productivity tools, Microsoft Suite, and video meeting platforms to improve administrative and workplace service efficiency.
