THE ROLE
Open Approach is hiring an Executive Operations Partner to work primarily alongside our COO and EOS Integrator, who leads the day-to-day operations of the business, while also providing support to our CEO and broader leadership team.


This is a hands-on, high-trust role for someone who loves creating order from complexity, anticipating what needs to happen before being asked, and ensuring priorities, commitments, and follow-ups translate into action.


This is more than traditional executive administration. The right person will become a trusted partner to leadership, helping protect priorities, improve the systems that support how we work, and create the structure that allows our executives to spend more of their time on the work that moves the company forward.


As trust and business knowledge grow, we expect the scope of the role to grow as well.


THE SPECIFICS OF THE JOB
Responsibilities

  • Manage the COO's inbox, calendar, priorities, and commitments, ensuring time and attention are aligned with the most important needs of the business.
  • Provide executive support to the CEO as needed, including scheduling, communication, travel, and follow-through.
  • Track commitments, decisions, action items, and deadlines to completion, proactively surfacing risks before they become urgent.
  • Turn meetings and conversations into clear next steps, with owners and due dates, and follow up independently to drive closure.
  • Draft clear, professional correspondence and internal communications on behalf of leadership.
  • Plan and coordinate travel, meetings, events, and other logistics involving multiple moving pieces.
  • Help prepare leaders for important meetings by organizing relevant context, materials, priorities, and outstanding decisions.
  • Identify opportunities to improve executive workflows, recurring processes, communication rhythms, and systems. Recommend better ways of working rather than simply maintaining inefficient processes.
  • Confidently manage up by raising concerns, challenging competing priorities when appropriate, and providing thoughtful feedback when asked.
  • Support recurring company communications and rhythms, including the company newsletter and monthly all-hands meeting.
  • Maintain context around important internal and external relationships so leadership can follow up thoughtfully and at the right time.
  • Take on a growing set of executive operations and office responsibilities that help the broader organization run smoothly.
  • Exercise sound judgment about what to handle independently, what requires additional context, and what needs leadership attention.


Job Requirements

  • Exceptional organization and follow-through, with a demonstrated ability to manage multiple priorities without losing track of commitments.
  • Excellent written and verbal communication skills with strong editing and proofreading instincts.
  • Sound judgment and the confidence to make appropriate decisions independently.
  • A proactive mindset. You naturally anticipate needs, identify problems early, and take action rather than waiting to be asked.
  • Strong systems thinking and an interest in improving processes, workflows, and ways of working.
  • The confidence and emotional intelligence to work closely with senior leaders, offer thoughtful feedback, and respectfully challenge an approach when you see a better path.
  • Ability to stay calm, organized, and effective when priorities shift or unexpected issues arise.
  • Absolute discretion when handling confidential and sensitive information.
  • Strong working knowledge of Microsoft 365, particularly Outlook and Teams, and comfort learning new productivity and AI tools.
  • Resourcefulness when solving scheduling, logistics, communication, and operational problems without needing every step prescribed.
  • Comfort working in-office in Burlington, Vermont, with occasional local travel for errands, meetings, and event logistics.
  • Experience in executive support, business operations, project coordination, office management, hospitality leadership, professional services, or another fast-moving environment where organization, judgment, and follow-through were critical.
